    Duties Description

    The Parks and Recreation Aide 7 will assist the Administrative Specialist 1 and the greater Admin Team with lower-level administrative tasks within the Division of Environmental Stewardship and Planning (DESP) . They will also act as backup for higher-level tasks as needed, whenever there is an influx of time-sensitive work, absences or new projects requiring assistance.

    Job Duties:

    Duties will include but not be limited to:
    • Answer general travel questions for DESP staff
    • Assist employees with pre-travel and post-travel paperwork
    • Submit travel forms in SFS.
    • Research and book hotels and cars for employees traveling for Stewardship Bureau, Environmental Education & Interpretation Bureau
    • Assist Admin Specialist 1 with scheduling meetings and interviews for DESP staff
    • Maintain working knowledge of meeting room equipment and its use, answer questions and assist users.
    • Assist Recovery Program Manager with general office work and maintain office equipment/inventory for unit.
    • Misc. Administrative office help (shared equipment issues, i.e.: printers, copiers, etc.; purchase and storing of supplies; purchase of business cards; scanning, archiving, organizing, of files both hardcopy and electronic, maintain organized office environment)
    • Reconcile Purchasing cards
    • Manage Sharepoint site and folder access
    • Work with admin team to update and maintain internal DESP contact lists online variously out of date
    • Monitor and triage DESP Help shared mailbox.
    • Act as backup for other members of the Admin Team as needed.

    Minimum Qualifications

    There are no minimum qualifications per Civil Service.

    Additional Comments

    Preferred Qualifications:
    · Relevant experience in an office setting, preferably in an administrative role.
    · Excellent organizational skills, ability to prioritize, and comfortable working independently.
    · Proficient computer skills including with Microsoft Office Suite (Word, Excel, PowerPoint etc.)
    · Strong attention to detail.
    · Strong communication and interpersonal skills.

    This position has the option to join the NYS Employee’s Retirement System and is eligible for health insurance, dental and vision coverage. There is opportunity for paid time off in the form of vacation, sick, personal and holiday leave after time & service requirements has been met.

    • Telecommuting available (up to 50%) upon approval by supervisor
    • Position will begin late February 2025
    • Expected to be a one-year position with potential for extension based on performance, need, and funding.
