Job Location: St. Louis District - Information Systems Department - 1590 Woodlake Drive, Chesterfield, MO 63017Why you’ll love this position: The office assistant performs clerical/secretarial functions, performs general support functions for technical or administrative programs, and supports office supervisor, managers, and staff. Specific duties will vary significantly, depending on the location of assignment. Responsibilities are performed under moderate supervision.
What you’ll do: - Working knowledge of computers and able to work in Office 365 programs (word, email, excel, etc.)
- Performs specialized clerical and office support functions for a technical or administrative program; answers routine questions from employees and customers regarding department programs; maintains program records and files; researches and obtains program related information for other staff members.
- Operates office equipment such as, copiers, phone systems, and uses computers for spreadsheet, word processing, database management, and other office applications.
- Compiles data or information; checks data to ensure accuracy of Phone Book and SL Photo Directory.
- Receives department incoming telephone calls, electronic mail; transfers calls to appropriate personnel or takes messages and/or enters IS Helpdesk tickets.
- Greets visitors and provides information to department personnel.
- Conducts inventory and maintains office supplies of non-APR items.
- Contacts employees or other individuals to address routine questions or resolve minor issues.
- Distributes District USPS mail daily and any UPS/FedEx as needed.
- Managing the Pool Reservation System and Pool Vehicles.
- Responsible for reserving and managing travel for the district (hotels, flights, car rentals, etc.) A spreadsheet will be kept of the arrangements to track the status of tax exemption and credit card authorizations.
- Responsible to collect bills from vendors and compile credit card statement files for payment.
- Performs other responsibilities as required or assigned.
