    Role

    The Superior Court is seeking a full-time Judicial Assistant for the Prescott location.

    Under minimal supervision, provides a variety of complex and confidential legal and administrative tasks in support of an appointed judge, commissioner and/or other appointed judicial officer. Undertakes and performs office management tasks associated with the operation, functions, and coordination of the work of a judicial division.

    Major Duties, Responsibilities

    • Serves as the first point of contact for division; answers busy phones; transcribes dictation; makes travel or other meeting arrangements for the Judge.
    • Assists with overseeing cases in case management system.
    • Manages and maintains court calendar and files; requests and prepares court files for hearings; manages and tracks cases; sets hearing and trial dates.
    • Prepares orders, rulings, minute entries, notices, jury instructions and other sensitive or confidential documents.
    • Manages and maintains a variety of records and documents to determine compliance with relevant and appropriate statutes, rules, administrative orders and/or other governing policies and procedures.
    • Interacts with the public, witnesses, attorneys, jurors, personnel from other departments and divisions, personnel from other courts and agencies; assists self-represented litigants.
    • Performs other job-related duties as assigned.


    Minimum Qualifications

    Education:
    High school diploma or equivalent.

    Experience:
    A minimum of three (3) years of secretarial or administrative assistant experience, to include one (1) year in legal or court environment.

    Additional Requirements:
    Must possess a valid Arizona driver’s license. Must complete annual training as required by the Committee on Judicial Education and Training (COJET).

    Knowledge of:
    • Basic legal terminology and court processes.
    • Pertinent legal documents.
    • Business English, spelling, grammar, punctuation, and composition.
    • Clerical office practices and procedures.
    • Research techniques and report writing.
    • Current Microsoft Office software.
    • Filing and recordkeeping.

    Skill in:
    • Communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by electronic means with public and employees.
    • Establishing and maintaining effective working relationships with employees, other agencies, and the public.
    • Organization and attention to detail.

    Ability to:
    • Prioritize, schedule, and organize work to meet established deadlines.
    • Prepare legal documents to meet deadlines, accurately and with minimum supervision.
    • Work effectively under pressure in an environment that has changing priorities and a demanding clientele.
    • Type at a minimum speed of sixty (60) WPM.
    • Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
    • Keep management informed of key operating issues affecting the department.
    • Remain current in knowledge required to perform assigned duties.
    • Handle confidential matters and always maintain discretion.
    • Act with courtesy, tact, and diplomacy.

    Work Environment:
    The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated.

    Physical Requirements:
    Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to lift up to 30 pounds.
