What You'll Be DoingServes as a primary program resource regarding processes and procedures. Performs a variety of program support, administrative and coordinative duties. Acts as a liaison with other program areas, departments or external agencies to ensure effective coordination and distribution of program information. Role differentiated from an Office Assistant based on the significant knowledge of program operations and policies and increased level of accountability.
- Interprets and explains program information such as: policies, procedures, eligibility requirements, application details, or payment information. Uses various databases to research and obtain information regarding program eligibility. Collects required documentation and uploads as required
- Investigates and resolves problems or complaints. May activate and deactivate user accounts; serve as the resource to reset passwords and assist users with logging into the appropriate system
- Participates in planning and program implementation
- Conducts research, analyzes data and develops program materials
- Coordinates program logistics; may coordinate the hearing process and oversee special projects in the program area
- Analyzes data and develops reports regarding the status of programs, projects, contracts, vendor arrangements and coordination of special projects. Drafts and distributes correspondence and assists in preparing Power Point presentations or other program materials
- Maintains program records. Collects and records program-related fees
- Reviews program documents to ensure compliance with established guidelines and timeframes
- Schedules meetings or program events and assists in organizing the logistics
- May record and distribute minutes from meetings
- Performs office support for a variety of program and project assignments
- Compiles, copies, sorts, and files records of office activities
- Processes mail
