    The Administrative Assistant plays a key administrative support role within a department, ensuring policies and procedures are followed and critical deadlines are met. This is an exciting opportunity to join the City of Ventura and start a rewarding career in public service.

    The Administrative Assistant performs a wide variety of complex and confidential clerical, accounting, and administrative duties in support of a division and/or department operations. This position performs duties related to recording, transcribing, and maintaining records and documents. This position may be assigned to record minutes for various legislative and policy-making committees and/or commissions and prepare action minutes from notes developed at meetings. The Administrative Assistant researches and responds to employee, vendor, and citizen inquiries and is responsible for maintaining filing systems, databases and assists in record management while courteously handling inquiries and resolving concerns.

    Experience and Qualifications for Success!

    A combination of education, training, and experience equivalent to completion of the twelfth grade, keyboarding abilities sufficient to perform the job, and three years of increasingly responsible clerical experience, including advanced clerical experience. Secretarial experience is highly desirable.

    License: Depending on the assignment, possession of a valid California Class C driver license may be required.

    Qualified candidates will have the following:
    • Experience performing complex and confidential administrative duties in support of a manager-level or comparable position.
    • Ability to maintain calendars and monitor the status of projects to meet schedules and deadlines.
    • Proficiency in a variety of computer software applications, including MS Word and Excel.
    • Team player attitude with exceptional organizational skills and articulate communicator.
    • Strong customer service philosophy when aiding in person, in writing, and over the telephone.

    • All applications and supplemental questionnaires submitted will be screened in relation to the criteria outlined in this job announcement. Candidates will be reviewed, and only those candidates determined to be most qualified on the basis of experience, training, and education, as submitted, will be invited to participate further in the selection process. Candidates will be notified about their status after the filing deadline.
    • The selection process may consist of one or more of the following: proofreading exercise, reading comprehension exercise, keyboarding, MS Office skills assessment, customer service assessment, and qualifying panel interview process.
    • Candidates are required to pass the online assessment exam to be placed on the eligibility list.
    • A select number of candidates will be invited to a qualifying panel interview process. Select candidates will be notified of specifics after the examination process has been completed. Initial panel interviews may be conducted via video teleconference. Selected applicants will be notified of specifics at the appropriate time.


    The Eligibility List established for this classification may be used to fill other regular and temporary vacancies at the discretion of the City.
