The Water and Land Resources Division is seeking an Administrative Staff Assistant for a 6 to 9-month term-limited or special duty assignment. This role is crucial for improving processes, managing archival records (Laserfiche), and coordinating HR-led meetings, recruitments, and program administration, with a key focus on the Laserfiche data and records management. The ideal candidate will possess strong customer service and communication skills, exceptional attention to detail, and the ability to multitask effectively. This position demands excellent organizational skills, the ability to meet tight deadlines, and the capability to handle multiple critical tasks. Flexibility, and an outgoing personality are essential, as well as the ability to adapt quickly to changing priorities. The successful candidate should be able to complete complex tasks with limited guidance, react with appropriate urgency to situations requiring quick turnaround, and make effective decisions without complete information.
About the Division:The Water and Land Resources Division is at the forefront of King County’s efforts to protect and restore clean water and healthy habitat and strengthen the resilience of communities, environment, and infrastructure in the face of climate change. We are a dedicated workforce of more than 400 supported by an annual budget of ~$250 million. WLRD has a strong track record of developing innovative strategies for protecting working farms and forests, restoring habitat, protecting water quality, and ensuring people have equitable access to green space. We reduce flood hazards, manage stormwater facilities, and reduce toxic threats. Our Environmental Lab and Science section maintain high-quality data sets used in long term-water quality trend analysis and use Best Available Science to inform decision making. We house three salmon recovery forums and support the Land Conservation Initiative, which will preserve our last, most important natural lands and urban green spaces over the next 30 years. Our forestry and agricultural programs help people protect their lands and support local food production.

Job Duties- Organize and maintain records and create files in the Laserfiche personnel records filing system. Enter and maintain personnel records according to King County records retention policies. Maintain HR databases and electronic filing systems and prepare reports from databases.
- Manage administrative functions for the Human Resources team: respond to general inquiries, draft and/or review correspondence, update and maintain visual management tools, support coordinating activities including outreach and recruitment events, and assist with new employee onboarding and orientation.
- Maintain tracking logs and organizational charts and update applicant/employee status in the HR or Applicant Tracking systems.
- Create and implement HR-focused information guides and/or streamlined information systems that help inform employees on required policies and procedures and available resources.
- Maintain confidentiality when working with sensitive personnel information.
- Manage internal MS Teams sites. Create and Manage MS Teams folders, content, and permissions as needed.
- Update internal staff websites (e.g., SharePoint). Work with HR Manager and analysts to proactively identify needs and revisions.
Experience, Qualifications, Knowledge, SkillsQualifications You Bring: - Three (3) years of increasingly responsible administrative experience OR an equivalent combination of education and experience which provides the applicant with the specific skills, knowledge, and ability to perform the work.
- Experience and expertise in Laserfiche or similar enterprise-level records management systems, including working with confidential records and/or archives and the management of electronic documents.
- Ability to provide exceptional customer service and provide clear communication both verbally and in writing.
- Skilled in project research, including but not limited to web research, data collection and analysis, and spreadsheet management.
- Ability to compile and analyze human resources data and trends to include turnover, hiring, retention, and other statistics.
- Ability to work effectively with a diverse group of individuals and to present information in a tactful and diplomatic manner.
- Demonstrated ability to proactively self-direct workload by organizing multiple competing priorities and producing quality detailed work within tight time frames while maintaining composure and professionalism during stressful times.
- High level of computer proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and SharePoint; and skilled in scanning and compiling PDF documents using Adobe Acrobat.

Supplemental InformationWorking Conditions:- Remote and Onsite Work Details: Employees in these roles work remotely from a home location, with onsite reporting requirements typically 4-5 times per month. The frequency of onsite work is determined by business needs and may be adjusted accordingly. Onsite reporting locations may be at various King County worksites including the collaboration space at King Street Center (201 S. Jackson St, Seattle, WA 98104).
- Remote Work Location Requirement: Employees must reside in Washington State and be within a reasonable distance to King County worksites to meet onsite reporting requirements.
- Work Schedule: This position is covered under the provisions of the Fair Labor Standards Act (FLSA) and is overtime eligible. This full-time position works a 40-hour workweek; 5-days per week, Monday through Friday.
- Union Representation: This position is not represented.
- Duration: The recruitment aims to fill a Term-Limited Temporary (TLT) position with an anticipated 6 to 9-month duration. If this position is filled by a King County employee who has successfully completed their initial probation, they will be offered the role as a Special Duty Assignment.
