Responsibilities are performed under general supervision.
What you'll do: - Manages the Commission Secretary's Office, which is responsible for providing all administrative support to the Highways and Transportation Commission.
- Serves in a liaison capacity between the Commission and the department; assists Commission members in obtaining information, scheduling engagements, and coordinating workflow related to Commission requests; and serves as a point of contact between elected officials, stakeholders, partners, and customers having business with the Commission.
- Drafts Commission correspondence and resolutions that reflect thorough understanding of the issue, sensitivity to both sides of the issue, and respect for the individual to whom the correspondence is addressed.
- Conducts research related to Commission requests for information and/or coordinates with appropriate department personnel to obtain necessary assistance related to specialized requests.
- Coordinates with Chambers of Commerce, local government representatives, and other groups or individuals on Commission meeting arrangements.
- Manages and assists in the preparation of agendas related to monthly and special Commission meetings and ensures all documentation and backup materials are collected and compiled in a consistent and appropriate manner.
- Prepares and/or manages the development of complete and accurate records of all Commission meetings, Commission committees, and Commission appointed advisory groups.
- Ensures adequate systems are in place and maintained to retrieve specific information from minutes of meetings, contracts, and other records filed in the Commission Secretary's Office.
- Coordinates with divisions and districts to develop and maintain the Commission's Delegation of Authority for Execution of Documents Policy.
- Serves as custodian of all books, maps, documents, and papers filed with the Commission and all orders made by the Commission.
- Serves as the custodian of official department records and ensures compliance with the department's open records procedure as required by state statute (i.e., Sunshine Law).
- Attests to all documents executed by the Commission or on behalf of the Commission.
- Oversees Commission Secretary's Office expenditures to ensure budgetary compliance.
Minimum Qualifications: - Demonstrated experience in positions providing broad exposure to organizational operations and processes, including communication with governing board, management, elected officials, stakeholders, department partners and customers.
Preferred Qualifications: - Bachelor’s Degree: Business Administration, Public Administration, or related field.
- Experience demonstrating the following skills: exceptional communication skills, strong organizational abilities, meticulous attention to detail, proficiency in calendar management, the ability to handle confidential information, and excellent interpersonal skills; high level of discretion and proactive problem-solving capabilities.
Special Working Conditions: - Job requires regular, statewide, overnight travel.
