ABOUT THE JOBThe Deschutes County Sheriff’s Office is accepting applications for an Executive Assistant to the Sheriff. Under general supervision, this position will also support the executive command staff team and performs a wide variety of highly responsible professional support services and technical support duties.
Key Responsibilities: - Manages sensitive and confidential issues.
- Maintains and updates files and databases.
- Performs and manages special assignments and projects.
- Research and compile information to assist the Sheriff with decisions and resolves operational issues, using knowledge of the operations and policies of the Deschutes County Sheriff’s Office.
- Arrange and schedule appointments and meetings for the Sheriff with staff and the public.
- Incumbent will provide exemplary customer service and at times speak for the Sheriff.
What You Will Bring: Knowledge of or experience with:
- Basic understanding of governmental structure and policies.
- Principles and practices of file management, accounting/bookkeeping, record keeping, case management, and records management.
- Customer service techniques, local community resources and regional community issues.
- Business and personal computers, and specialized software applications. Detailed understanding of the full Microsoft Office Suite.
Skill in:
- Working independently, maintaining composure and confidentiality, and working effectively in a high-pressure environment with changing priorities.
- Organizing and managing complex administrative and technical services.
- Using initiative and independent judgment within established procedural guidelines
- Understanding and applying relevant rules, ordinances, codes, regulations, policies, procedures, administrative orders, and other governing regulations.
- Developing information and possible consequences of actions to assist Executive leadership with decisions.
- Writing professional reports, correspondence, and documents of a confidential nature from brief instructions.
- Reviewing documents for accuracy, completeness, and compliance with requirements.
- Prioritizing multiple tasks, projects, and demands. Ability to organize daily workload by priorities.
- Establishing and maintaining cooperative working relationships with co-workers and government officials.
- Effective and professional communication skills verbally and in written format. Able to speak confidently in a public forum.
- Responding to inquiries and complaints tactfully and constructively.

Minimum Qualifications- Associate’s degree in Business or Public Administration;
- AND five (5) years of Executive-level support experience;
- OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the job.
Preference will be given for:- Prior executive level law enforcement experience.
- Prior experience as an executive assistant working in government, for an elected official, or for the CEO of a company/corporation.
- Current LEDS certification.
Necessary Special RequirementsPossession of or ability to obtain a valid Oregon driver's license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.
Must possess or have the ability to obtain LEDS certification within 30 days of hire date.
Must pass a driving record review and criminal history background. - A current driver's license and the state of origin are required.
