DescriptionUnder the general supervision of the Public Works Director, is responsible for answering telephones and meeting/greeting customers, performing clerical and administrative duties and tasks in support of management staff in Public Works and Utilities, assisting with bid document preparation, procurement card reconciliation, time entry, responsible for maintaining data, producing reports and documents, department webpage updates and other duties as directed or assigned in support of the Public Works Department.
DutiesThe following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Meets and greets visitors to the Public Works Department.
Answers and screens telephone calls to direct callers to the proper employee or department and arranges conference calls for the department.
Prepares correspondence, including business letters, memos, e-mails and faxes.
Responsible for incoming/outgoing interoffice and postal mail.
Supports development and distribution of procurement and bid documents, specifications, public notices, letters, advertisements, and other correspondence for the department through various means.
Tracks contracts and agreements approaching the end of their term and coordinates renewal/re-bids.
Responsible for purchasing and tracking materials, supplies, equipment, and services.
Responsible for entering, processing and record keeping of department purchase orders.
Coordinates and arranges meetings, prepares agendas, and transcribes minutes of meetings for the department.
Responsible for department’s procurement card program including reconciliation, collection of receipts and data entry.
Assists with records retention and digitization.
Performs other related duties as required or assigned.
Required Education, Experience, License, Registration, and Certification Qualifications EDUCATION and/or EXPERIENCE - High school diploma; and
- Associate’s Degree from an accredited college or university; and
- Three (3) years’ progressively responsible receptionist, clerical or administrative type experience in functions such as public relations, planning, communications, journalism, public works; or
- An equivalent combination of education, training, certification and experience will be considered.
CERTIFICATES, LICENSES, REGISTRATIONS - Must possess and maintain a valid Florida Driver’s License, or ability to obtain within 30 days of hire or promotion.
- Florida Notary License, or ability to obtain within 6-months of hire date.
