    Overview

    One Agency, One Mission: Public Safety

    The Larimer County Sheriff's Office seeks someone with great customer service skills to join us as an Administrative Specialist I - Limited Term Employee. The perfect candidate will be able to provide a high level of customer service at the front desk via phone or in-person interaction by effectively coordinating communication from the public with persons or services being requested at the jail.

    T his person will perform administrative work supporting the Larimer County Jail including t he receipt and review of forms and applications, research and response to process and program-related questions, and entry and maintenance of related data. Knowledge of jail operations is preferred. This is a part-time position.

    Responsibilities

    Essential Functions
    • Performs customer service duties; provides general information and responds to specific customer questions; conducts necessary research and routes inquiries appropriately for more complex matters and interpretation issues; takes written messages.
    • Establishes, maintains, and adjusts appointments, activity calendars, and work schedules for work groups and individuals.
    • Accepts and processes plans, specifications, forms, reports, legal documents, applications, or similar materials in accordance with legal and procedural requirements.
    • Enters data into and maintains computer systems or databases; proofs data entry and corrects errors; runs standard reports as required.
    • Orders and maintains inventory of office and other departmental supplies and equipment; tracks expenditures; ensures operations of office equipment through County or contracted maintenance services.
    • Tracks and processes accounts receivable and payable.
    • Prepares and distributes meeting agendas, packets, and related materials; transcribes, and distributes meeting minutes.
    • Establishes and maintains office filing systems, files, and records; assembles information upon request; directs other employees in file maintenance procedures.
    • Prepares and proofreads standardized documents and forms; composes standard correspondence and written responses upon request and reviews of other staff members.
    • Prepares and provides written articles and narrative for newsletters; prepares bulletins, brochures, publications, and marketing materials.
    • Receives departmental documentation for scanning production.
    • Enters cases into records management system and generates documentation as necessary.
    • Performs data entry of a variety of index fields associated with each document class type.
    • Ensures documents are clear and indexed properly by performing standard quality assurance and quality control processes for scanning and indexing.

    Nonessential Functions
    • Assists with training of new hires, temporary workers, and other administrative employees.
    • Schedules work orders, service calls, and other activities for employees; maintains activity and work logs; may dispatch other employees on a regular or emergency basis.
    • Makes meeting and travel arrangements including communicating with agents, planners, and facilities to coordinate arrangements and ensure all plans are accurate.
    • When a local declaration of emergency or disaster is declared by the Board of Commissioners, all Larimer County employees may be required to work as a Disaster Service Worker.
    • Performs other duties as appropriate or necessary for performance of the job.


    Qualifications

    • Must be at least 18 years of age.
    • One (1) year of experience in a directly related field or in the performance of similar office administrative duties and responsibilities required.

    Submit your Letter of Intent to your direct supervisor.
    Your direct supervisor will then write a Letter of Support and route that Letter of Support through your chain of command.
    Your next-level supervisor/manager endorses your direct supervisor's Letter of Support.
    Your mid-level manager then endorses your Letter of Support.
    Your Division Commander then endorses your Letter of Support.
    Submit your fully endorsed Letter of Support along with your application.
