This job is an administrative support position responsible for day-to-day office activities for the Missouri Department of Agriculture Bureau of Feed and Seed. The Bureau administers the Missouri Commercial Feed Law and the Missouri Seed Law through the regulation of feed and seed producers, distributors, and guarantors sold within the State of Missouri.
- Day-to-day operations which include answering phone calls, taking messages, handling correspondence, organizing, and servicing meetings (agendas and minutes), distributing mail which includes postcards and assisting with mass mailings. Provide personalized support to field staff and other team members accordingly related to the Feed and Seed Program
- Data entry into the USAPlants for processing feed and seed licensing applications, pet food registrations and tonnage fee reports; including new, renewal, modification, transfers, or terminations. Account maintenance.
- Collect payments, process payments, and issue licenses and permits for feed and seed manufacturers, distributors, and guarantors. Interact with the public daily via phone and email regarding account issues, complaints and resolving product stop sales/withdrawals.
- Cash/check handling, compiling, and maintaining fiscal transmittals.
- Composing correspondence, editing a variety of material, and preparing reports in accordance with state statutes and regulations (Feed & Seed Law)
- Assisting in State Archiving procedures.
- USDA Seed submittal and tracking
- Reviewing & Distributing Official Reports
- Assist Feed Laboratory with Sample Work Verification, Scans & Reviews.
- Assist program in other duties as assigned.
Minimum Qualifications: -
- Two (2) or more years of clerical or administrative support AND a high school diploma or GED Equivalent. Training from a vocational or business school in Office Management, Secretarial Science, or closely related field may allow for substitutions to the required experience.
- Ability to communicate clearly and effectively both verbally and in writing. Must be proficient in grammar, composition, spelling, and typing of communications.
- Ability to work independently, identify tasks, standardize procedures, and exercise sound judgement.
- Ability to effectively use Microsoft Office 365 (Outlook, Word, Excel and PowerPoint) and necessary net-based sites. As well as standard knowledge of office equipment such as computers, phones, and printers.
- Ability to develop a working knowledge of state statutes, rules and regulations, procedures and processes applicable to Missouri Feed and Seed Laws.
- Ability to travel to transport transmittals to the main office daily.
