Examples Of DutiesSUMMARY
This position performs, under direction of the administrator and/or lead, fixed asset and inventory management, including calculating, coordinating, monitoring, reporting, purchasing, distribution, surplus collection, and sale or disposal; as liaison, communicates with, and provides quality customer service to, District staff and vendors; and assists the Purchasing Department with other tasks as requested.
ESSENTIAL JOB FUNCTIONS
1. Coordinate and monitor the District’s fixed asset program; maintain database of all fixed assets; research, resolve, and correct discrepancies; reconcile fixed assets records with vendor provided data and Finance department records; record changes to the fixed asset management system, including receipts, transfers, and inventory reconciliations; perform fixed asset program monitoring and tracking functions.
2. Proactively manage, schedule and monitor the District’s Annual fixed asset inventory cycle process.
3. Assist with compiling data and performing calculations; prepare reports and other documents used in KPI process; prepare a variety of forms and reports to ensure proper funding and/or compliance with District, state, and federal regulations.
4. Assist the buyer and/or lead in monitoring the small works roster; procure and maintain required documents and submit to the state.
5. Initiate purchase orders for District instructional materials pre-approved by the assigned curriculum administrator.
6. Work with warehouse to schedule and verify deliveries of instructional materials and related overages/shortages, as well as returns; maintains inventory using applicable software.
7. Assist in monitoring and purchasing warehouse stock; may include being responsible for assigned sections.
8. Review purchase requisitions submitted by schools or department for completeness and accuracy; focus and emphasis is on continual check and verification of current accurate listings; input identifying information into database system.
9. Assist in coordinating and monitoring the District-wide procurement card program; as directed, assist in coordinating and monitoring the District-wide copy machine procurement program.
10. Assist with correspondence to initiate contract action; assist with follow-up via telephone/letter on contract actions or on orders to expedite delivery; update contract and requisition records as needed; maintain complete, organized, and accessible contract files; update supplier performance and bidding status as needed.

1. Maintain and update knowledge and skills required for success in the position by participating in professional development activities, as needed, or as assigned.

3. Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.
4. Answer multi-line telephone and direct calls to appropriate staff members; takes messages and answer inquiries as knowledge permits.
5. Type correspondence, forms, flyers/pamphlets/newsletters, and reports from notes or drafts; attend meetings and takes minutes as assigned; compile a variety of information; proofread for accuracy; make copies and distribute; draft routine correspondence, as directed.
6. Schedule appointments, meetings, and workshops, as assigned; keep staff and other interested parties informed; may coordinate room set up, including furniture and audiovisual equipment; prepare agendas and materials for meetings.

Office environment; experiences frequent interruptions; experiences prolonged visual concentration and exposure to video display; may have to deal with, and, if appropriate, defuse difficult and sensitive situations and/or people; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile; experiences pressure to be influenced in decision-making.
Minimum QualificationsEducation and Experience
Two years of college level studies in business or a related field and one year of fixed asset and/or inventory experience in a large, centralized procurement organization; experience in a large public centralized procurement organization, preferred; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.
Licenses/Special Requirements
Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.
Allowable Substitution
Additional closely related work experience will substitute on a year-for-year basis for the education requirement.
Knowledge, Skills and Abilities
Knowledge of grammar, spelling, and English usage.
Knowledge of purchasing procedures.
Knowledge and experience with RCW Codes and public works projects, preferred.
Knowledge of electronic procurement data processing systems.
Knowledge and understanding of public purchasing statutes, fixed assets, and inventory.
