    Job Description

    The Administrative Associate III works under general supervision and provides complex administrative support to the TEEX ESTI Extension Program.

    This position reports to the Administrative Coordinator II.

    Required Qualifications:
    • High school diploma or GED.
    • Three years of related administrative experience.


    Required Licenses/Certifications:
    • Must have a valid motor vehicle operator’s license or ability to obtain within 30 days of employment.

    Physical Requirements:
    • Must be able to communicate orally and in writing.
    • Must be able to lift and/or move light to moderately weighted office supplies and/or resource materials.
    • Extensive or regular use of computer and/or keyboard.
    • Ability to sit/stand for extensive periods of time in an office environment.
    • Ability to travel independently by driving to other TEEX locations, meetings, and/or conferences.
    • Physical conditioning consistent with room setup for meetings, handling/moving/lifting office supplies, mail, files, office references and resource materials.


    Knowledge, Skills, and Abilities:
    • Knowledge of word processing, spreadsheet, and database applications.
    • Ability to multitask and work cooperatively with others.
    • Strong verbal and written communication skills.
    • Ability to work with sensitive information and maintain confidentiality.
    • Strong interpersonal and organizational skills.


    Equipment:
    • Standard office equipment: computer, keyboard, multifunctional printer, telephone.


    Notifications:
    • This position is security sensitive.
    • This position may require work beyond normal office hours and/or work on weekends.
    • This position requires compliance with state and federal laws/codes and Texas A&M University System/TEEX regulations and procedures.
    • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and Agency safety requirements.
    • As part of TEEX’s mission of providing training, developing practical solutions, and saving lives; this position could be required, if called upon, to deploy within the State of Texas as directed by this position’s Division Director/HQ Department Head.
    • Ability to travel independently to other and/or remote locations by driving a personal or TEEX vehicle and/or flying on commercial airlines.


    Essential Duties, Tasks, and Percentages:

    Administrative - 100%
    • Performs word processing, desktop publishing, presentation, and/or data management activities, and assists staff with the use of these applications.
    • Composes correspondence, reports, publications, and presentations, including editing and proofreading.
    • Creates and maintains spreadsheets and databases.
    • Researches and analyzes administrative requirements for specific programs or projects.
    • Provides technical information regarding administrative procedures, services, or programs.
    • May perform mail services.
    • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.
    • Maintains a variety of fiscal, administrative, and academic records.
    • Posts information to agency records and modifies forms or records.
    • Verifies, processes, and reviews forms, reports, and other documents.
    • Makes arrangements for meetings, appointments, conferences, and travel.
    • May set up meetings, seminars, and other special events to include facilities, equipment, and food.
    • Maintains office supplies and equipment.
    • Maintains office reference materials including online office materials.
    • May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.
    • May coordinate activities and assign work to student workers and support staff.
    • May participate in the hiring training, and supervision of student workers and other support staff.
    • May work beyond normal office hours and/or work on weekends.
    • Answers and directs incoming Program phone calls.


    Additional Responsibilities:
    • Participates in annual professional development activities as directed.
    • Positively and professionally interacts with customers and others. (staff, students, etc.)
    • Works with additional programs as needed.
    • Reports to work at the designated time. (as defined by policy and specified by the Extension Training Director)
    • Accurately submits all reports required by TAMUS/TEEX/ESTI and the Program.
    • Performs additional work duties as assigned.
