Administrative Support Clerk/Assistant Division of Developmental DisabilitiesSt. Louis Regional Office/Wainwright Job Location: This position is currently domiciled at the Wainwright Office Building (St. Louis). ** Domiciled location subject to change within the next year** Job Description(s) First-level administrative support position that works within set guidelines and under direct supervision to perform simple and repetitive clerical, printing, and mail related tasks including but not limited to basic filing, copying, opening and sorting of documents, and data entry.
Job Responsibilities - Knowledge of phone system including voicemail and switchboard. Answer the switchboard and direct all calls to the appropriate staff. If need be, research and find out who would best be able to resolve their issues
- Understanding of Word, Excel, outlook, CIMOR, DCR by demonstrating usage in daily correspondence, documents and tracking systems.
- Ensure all visitors entering the office sign in and follow proper procedures
- Keep front areas, lobby, entrance, and switchboard desk clean and sanitized
- Affix postage to outgoing mail; Sort and distribute incoming mail
- Maintain clerical folders and keep brochures stocked
- Review and update needed files both (physical and digital) as needed
- Updating Public Administrators list, including contact information and address
- Updating staff lists for all departments and offices within SLRO.
- Email letters/documents to TCM's; Staff; Consumers
- Provide support and assist staff with all special projects and tasks when needed
- Operate basic office equipment (copier, computer, scanner, printers, phone etc)
- Manage vehicle reservations and vehicle maintenance
- Other duties as assigned
