    Description

    Performs a variety of routine to complex paralegal, administrative, office management, secretarial and clerical work to maintain efficient and effective office operations.Work is performed under the general supervision of the County Attorney. Assignments are received through conferences and written instructions and work is reviewed by observation of results achieved.

    Examples of Duties

    • Serves as the executive legal assistant to the County Attorney.
    • Interacts with the public, County staff/officials, contractual staff, media personnel, officials/staff from other governmental entities or Legislative officials/staff as necessary.
    • Liaison with the County Attorney and County staff in order to maximize efficiency/effectiveness of Department operations.
    • Prepares a variety of correspondence, notifications, forms, meeting minutes , detailed reports and related documents in order to communicate information to County staff and/or the public.
    • Drafting, formatting, and reviewing a variety of litigation pleadings/responses, motions, agreements, ordinances, resolutions and other legal documents for review by the County Attorney.
    • Conducts legal research as assigned and draft legal memos.
    • Responsible for the proper organization of the electronic and paper filing systems for the legal department.
    • Receives and screens County Attorney’s incoming/outgoing communications (telephone calls, mail, e-mail, etc.) in order to ensure timely response to requests.
    • Works independently preparing correspondence and other legal documents as directed.
    • Schedules a variety of meetings in order to facilitate intra-office communications and/or coordinate/facilitate County staff interaction with the public, elected officials and other governmental staff.
    • Processes requests for Department materials, information received by phone, fax, email, or in person in order to provide requested materials/information.
    • Schedules meeting rooms in order to ensure space is available for a variety of meetings, conferences and/or workshops. This includes the Board of County Commission chambers and the two attorney conference rooms.
    • Makes reservations and travel arrangements for the County Attorney.
    • Resolves a variety of problems/issues from County staff and/or the public in order to maximize the efficiency/effectiveness of office operations and/or services provided.
    • Files a variety of correspondence, documents, requests received, and other forms/materials in order to provide documentation of activities and comply with Department/State records management and Department operating policies and procedures.
    • Compiles Board agenda related materials in order to prepare agenda items for the Board of County Commissioners agenda.
    • Assist the County Attorney with the preparation of and monitors the Department annual operating budget.
    • Processes and maintains personnel related documents and records (payroll).
    • Handles and has access to Department records and information, including information of a confidential and/or sensitive nature.
    • Acts as public records liaison for the County Attorney office responsible for all incoming requests for records and ensuring timely and complete response.
    • Performs related duties as required.


    Typical Qualifications

    • Associates degree required.
    • An equivalent combination of education, training and experience may be considered in lieu of associate’s degree.
    • Ten to fifteen (10 to 15) years of responsible secretarial work experience in a legal environment or an equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities. Advanced paralegal training preferred.
    • Preference will be given to applicants with Local Government experience. Florida Registered Paralegal preferred.
    • May require a valid State Driver’s License.

    • Thorough knowledge of local court rules and legal procedure.
    • Ability to acquire and demonstrate thorough knowledge of the laws, ordinances, standards and regulations pertaining to the specific duties and responsibilities of the position.
    • Thorough knowledge of modern office practices and procedures. Strong computer proficiency, including MS Office (Word, Outlook, Excel, and PowerPoint).
    • Solid organizational and multi-taking skills with high attention to detail.
    • Ability to reprioritize and act quickly when workload or situations require.
    • Ability to handle complaints from the public and provide complex legal information regarding the same.
    • Ability to respond with considerable tact and courtesy to the public.
    • Ability to exercise independent judgment and initiative in completing assignments and in resolving minor office operational problems.
    • Considerable knowledge of the rules, procedures and functions of the office and the organizational structure of county government.
    • Ability to deal with people in a tactful and effective manner and to use judgment and discretion in disseminating information.
    • Ability to operate a computer and related equipment at an accurate and rapid rate of speed.
    • Ability to perform assignments on the basis of general outlines or directions without specific instructions as to details and to perform continuing assignments independently.
    • Ability to communicate effectively, both orally and in writing.
    • Ability to perform assignments with limited supervision.
    • Ability to evaluate data/information and make decisions in accordance with established policies, procedures and guidelines.
    • Ability to serve the public and fellow employees with honesty and integrity in full accord with the letter and spirit of County policies and Customer Care Standards.
    • Ability to work under stressful conditions as required.
