The Grants and Community Resources Department is seeking a
GRANTS TECHNICIAN to join their team. This position p erforms advanced level administrative work to support professional staff in coordinating grant, project, and program development and administration, as well as grant software, accounting, time tracking, and budgeting functions for the Grants and Community Resources Department (GCR) Programs Division (GCR).

Representative Examples of WorkAssists GCR staff with contract development and execution; drafting bids, resolutions, and requests for commissioner action; file management and data collection; coordination of grant management software utilization; complex financial tracking and reporting tasks including invoicing, JV tracking, deposits, and processing loan payments; time tracking functions including establishment and maintenance of pivot table, time tracking database, and employee cost centers; insurance certificate tracking; and website development and maintenance. Creates and administers forms and financial tracking and reporting spreadsheets .Acts as liaison to Finance and Auditor for troubleshooting. Trains staff in the use of spreadsheets. Ensures accuracy of data entered by other staff. Maintains accounts receivable and accounts payable records. Enters invoices into accounting system for a multitude of local, state, and federal grants; prepares journal vouchers; produces invoices, prepares and submits payroll forms, claims, travel forms, deposits, budget transfers, and amendments; processes credit card payments; monitors budget expenditures; prepares quarterly reports for department accounts. Maintains inventory of equipment, and office supplies. Composes and prepares correspondence, reports, and forms from source material. Processes and tracks information, creates graphs, charts and brochures, and writes newsletters and other publications. Provides information to the public. Updates and maintains the program website. Administers and coordinates the grant application and grant reporting functions within Foundantgrant management software. Acts as liaison for troubleshooting and maintenance of the system. Researches, analyzes, and synthesizes information and data; and prepares written materials for presentations, marketing and outreach materials. Assists with developing publications. Plans and prepares special events, meetings, and trainings; prepares and disseminates agendas, meeting minutes, daily mail, and other information. Provides staff assistance with office equipment and acts as the primary liaison to County Technology Department for all telephone, computer, and technology purchasing, problem solving, etc. Serves as primary contact for all office related maintenance and repair issues including cleaning and working with County Facilities Department. Serves as primary contact for division level purchasing and working with County Central Stores including reserving cars, maintaining office supply inventory, and mail. Responds to requests for information by the public, community partners, office staff, or other departments. Answers complex inquiries that may require interpretation of County or departmental policies, rules and regulations. Conducts research that requires considerable knowledge of departmental policies and procedures. Assists in the dissemination of information necessary to implement County or departmental policies. OTHER DUTIES: Performs related work as required or directed. May attend meetings and trainings, and present information in public meetings, as directed. May make travel, conference and training arrangements for staff.
Minimum Qualifications- Associate degree required. Degrees best suited to this position are accounting, business administration, finance, and project management.
- Requires two years of experience in the use of spreadsheet, word-processing, database, and desktop publishing computer applications.
- Experience with grant preparation and administration desired.
Physical/Environmental DemandsThe work is primarily performed in an office setting but may involve frequent walks to other county offices. Requires occasional light lifting (upto20lbs). Requires attendance at off-site meetings that may require travel in adverse weather conditions. Occasionally requires attendance at meetings outside of regular business hours.

Excellent Medical Health Benefits– Group health benefits, including dental and vision coverage, are available to eligible County employees. The medical health benefits premium is covered for full-time employees. The County contribution is pro-rated on hours paid for part-time employees. Sick Leave– Full-time employees accrue 7.38hours per month and are eligible to use sick leave once you have been an employee for 90 days.The accrual is pro-rated for part-time employees.
Vacation Leave– Full-time employees accrue 9.24 hours per month and are eligible to use leave after continuous employment for a period of 6 full months. The accrual is pro-rated for part-time employees.
Holidays– The County observes eleven legal holidays in even numbered years and ten legal holidays in odd numbered years.
Paid Parental Leave (PPL)-In recognition of the importance of bonding and care of a newborn child or a child placed for adoption, Missoula County 6 continuous weeks of PPL to eligible full-time employees that have been with the county for 180 days. The hours are pro-rated for part-time employees.
