    Summary

    ABOUT THE DEPARTMENT:
    Deschutes County Clerk's office is responsible for processing all real property transactions, plats, Commissioners' Journal documents and Board of Property Tax Appeal petitions for Deschutes County. The Clerk's office also issues marriage licenses, processes passport applications and oversees the county’s Archive/Records Center.

    In addition, the office plans, coordinates and conducts all elections in Deschutes County. It ensures that elections are conducted according to statute and other related requirements. The office maintains safe, up-to-date and accurate voter rolls.

    ABOUT THE JOB:
    Deschutes County is accepting applications for an Administrative Support Specialist. This position is responsible for performing moderately complex duties associated with completing customer transactions, researching records, retrieving information, and providing general office assistance for the Deschutes County Clerk's Office. Incumbent will be responsible for recording real property records including indexing; accepting and processing marriage license applications; receiving and reviewing passport applications; processing accounts receivable and payable transactions in recording; reviewing and receiving intra-department records center requests and assisting departments with retention of records; supplying and billing departments for supplies; assisting with microfilm creation; providing election support, including but not limited to processing voter registrations; updating computer records; and assisting the public in accessing public records.

    Key Responsibilities:
    • Recording real property records including indexing.
    • Accepting and processing marriage license applications.
    • Receiving and reviewing passport applications.
    • Processing accounts receivable and payable transactions in recording.
    • Reviewing and receiving intra-department records center requests and assisting departments with retention of records.
    • Supplying and billing departments for supplies.
    • Assisting with microfilm creation.
    • Providing election support, including but not limited to processing voter registrations.
    • Updating computer records and assisting the public in accessing public records.
    What You Will Bring:
    Knowledge of or experience with:
    • Clerical and office procedures and methods.
    • Keyboarding, filing and retrieval, and record-keeping skills.
    • Sufficient human relations skill to communicate standard information, to employ lines of inquiry, and to maintain harmony in a work setting.
    Skill in:
    • Entering data onto standardized formats using computerized data base programs.
    • Searching documents from departmental records as well an external source.
    • Performing basic arithmetic.
    • Operating a variety of office equipment.

    Compensation

    $4,366.86 to $5,851.99 per month for a 172.67 hour work month. Excellent County benefit package when eligible. This union-represented position is available immediately.
    BENEFITS:

    Minimum Qualifications

    • High school diploma or GED equivalent;
    • AND four (4) years of administrative support experience;
    • OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.
    Preferred Qualifications :
    • Real Estate law.
    • Title Company experience such as Title Examination or Escrow.
    • Law firm emphasizing in real property or corporate law.
    • Banking or financial institution with emphasis in lending in real estate.
    • Records management.


    Necessary Special Requirements

    The employment offer will be contingent upon pre-employment screening for criminal history and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). These screenings must be completed with satisfactory findings in order for a formal offer of employment to be extended.

    Must have the ability to work in an office that is environmentally controlled; possess sufficient hand coordination to perform keyboarding and data entry; arm/hand movements to retrieve work materials and operate a variety of general office equipment. The position is frequently required to sit, walk, stoop, bend, reach, stand, grasp, talk, hear, see, lift and carry 10 pounds, and occasionally lift and occasionally carry up to 25 pounds.
