    Job Location: This position will be located at 1706 E. Elm Street, Jefferson City, MO 65102

    Why you’ll love this position:

    The Division of Behavioral Health (DBH) is seeking an Administrative Support Professional for Central Office domiciled in Jefferson City, Missouri. This position reports to the DBH Deputy Division Director of Psychiatric Facilities and the Deputy Division Director for Administrative Services.

    • Provide administrative/clerical support to the DBH Offices of Administration and Facility Operations:
      • Schedule appointments, maintain calendar updates, coordinate meetings, and attend meetings as necessary to take minutes.
      • Coordinate procurement of office equipment and supplies.
      • Process patient grievances when received, seek additional information when required from DBH hospitals, format responses, provide copies of responses to appropriate facility, and ensure responses are completed by deadline.
      • Maintain and update Facility Operations Division Directives and other facility operations electronic documents in appropriate online folders and on SharePoint.
      • Maintain records of written correspondence with DBH consumers, community providers, and other DBH stakeholders as required.
    • Attend/complete trainings as necessary to maintain skills.
    • Assist with answering Division telephones as needed.
    • Primary for travel arrangements for DBH staff, including state vehicle, hotel reservations, airfare, and rental car. Hotel charges, airfare, and Enterprise rental cars are all paid with a state issued Visa card.
    • Complete state pro-card transaction log and submit receipts for the monthly credit card statement.
    • Email allocation letters to all providers at the beginning of each fiscal year and any revised letters throughout the year.
    • Email notification of CIMOR Priority notices to providers.
    • SATOP Supplemental Fees - send delinquent letters to providers as instructed by fiscal staff, when necessary.
    • Submit IT Help Desk Tickets for new/replacing equipment for all DBH staff and any phone issues.
    • Maintain confidentiality of consumer and personnel related information at all times.
    • Complete other duties as requested/assigned by Deputy Division Director for Psychiatric Facilities and the Deputy Division Director for Administrative Services.


    Required Skills:

    • Well organized and able to multitask.
    • Work with minimal supervisor.
    • Able to prioritize assignments.
    • Intermediate proficiency in Microsoft Office products.
    • Excellent professional verbal and written communication skills.


    Required Qualifications:

    • Five (5) or more years as a Lead Administrative Support Assistant (formerly Administrative Office Support Assistant).
    • Possession of High school diploma or high school equivalency.
