    Job Summary:

    Under general supervision, the Student and Academic Advisor will perform moderately complex student services work. Key responsibilities include, but are not limited to, providing information and guidance to prospective students regarding degree and professional programs, assisting prospective and current students with enrollment and admission processes and solutions, offering student retention services, and providing admission and academic advising. The advisor will attend recruitment fairs to promote all Professional and Continuing Education (PaCE) programs, and coordinate data input, reporting, and analysis related to these activities.

    Duties and responsibilities

    Admission Advising and Recruitment:
    • Acquire prospective student information by utilizing basic interviewing and active listening skills for program recruitment.
    • Provide information and guidance to prospective students on degrees, certificates, and individual courses that align with their aptitudes, interests, and abilities.
    • Apply sound judgment and knowledge of standards to assist prospective and current students with suitable solutions and courses of action for issues related to enrollment and/or completion of course/program.
    • Evaluate student needs through basic interviews and counseling techniques to explain the basis for directing, guiding, and/or advising on all available services.
    • Advocate for student needs in area of expertise and identify/recommend solutions in collaboration with campus partners.
    • Maintain accurate student information and status in department's customer relationship management (CRM) software.
    • Attend recruitment fairs and offer information sessions to promote all PaCE programs and provide prospective students with details about the preadmission process.
    • Guide prospective students through the admission process such as tracking and obtaining missing documents/transcripts until applicants are fully admitted or denied.
    • Apply working knowledge of program practices, procedures and activities to participate in the development and maintenance of an information knowledge base to assist all staff in providing accurate and comprehensive program data in response to potential student inquiries.
    • Schedule and conduct 1:1 and group information sessions for current and prospective students.
    • Plan, and attend “on the spot” admissions for specialized groups such as community colleges and partnerships, etc.
    • Collect, compile, analyze and evaluate data to prepare timely reports on recruitment, application, enrollment, and other information requested.

    Academic Advising and Student Retention:
    • Create individual Student Program Plans for all matriculated student in the undergraduate online programs. Anticipate any possible issues that could postpone degree completion and provide readily available alternative solutions. Recommend solutions to individual student problems for which precedents may not exist.
    • Independently provide comprehensive advisement to students who have problems in choosing, pursuing, and adjusting themselves to suitable educational goals and provide factual data about occupational and educational requirements.
    • Utilize intricate critical thinking and problem-solving skills to accurately determine when to request/update Grad Checks for students to ensure proper graduation timeline.
    • Maintaining effective working relationships by interacting with students and following up to inquire about progression in the programs at the time specified for each program.
    • Run reports to monitor student engagement in degree and certificate programs.

    Other classification related duties as assigned.

    Minimum Qualifications:
    • Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year for year basis
    • Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job related field may be substituted for one year of the professional experience

    Required Qualifications:
    • Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.
    • Ability to interpret and apply program rules and regulations
    • Use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements
    • Obtain factual and interpretative information through interviews
    • Reason logically
    • Collect, compile, analyze and evaluate data and make verbal or written presentations based on these data Advise students individually and in groups on routine matters where required
    • Recognize multicultural, multisexed and multi-aged value systems and work accordingly
    • Establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts
    • Rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
    • Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.

    Preferred Qualifications:
    • Master’s degree
    • Experience coordinating and administering educational program events or projects, preferably in higher, extended, and/or adult education.
    • Experience with gathering and analyzing data, and developing reports
    • Knowledge of interviewing and counseling techniques to facilitate enrollments
    • Proficiency with Client Relationship Management (CRM) systems
    • Familiarity with conducting orientations for students
    • Demonstrated record of organizational skills and attention to detail
    • Strong interpersonal communications
    • Excellent oral and written English communication skills
    • Proficiency in Microsoft Office Suite programs
    • Candidates must be willing to maintain a flexible work schedule, occasionally working evenings and weekends, and domestic travel.


    Compensation and Benefits:

    Anticipated Hiring Range: $4,841 - $5,100 per month

    Classification Salary Range: $4,841 - $6,884 per month

    The salary offered will take into account internal equity and experience among other factors.

    The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year.     Position Information:

    Full-time Exempt Probationary

    Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

    Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

    Background Check

Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
