    PURPOSE:

    Under the general direction of the AVP for Enrollment Management, the Extended Education (EE) Admissions Coordinator is responsible for supporting annual enrollment targets for designated EE programs. The EE Admissions Coordinator discusses educational goals and shares admissions requirements to potential students, while also guiding applicants through the enrollment process in order to support CSUMB enrollment goals.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following :
    • Recruits, processes and monitors prospective students and applicants for all extended education programs. Responsible for coordinating a seamless admittance, transfer credit analysis and posting, and enrollment of Extended Education new students. Maintains a prospect list, prepares enrollment reports, and utilizes these reports to follow-up with prospective students. Develops and participates in the email, chat and tele-counseling campaigns to ensure enrollment targets are met.
    • Creates, coordinates and implements effective communication to all EE prospective students and applicants. Provides counseling to prospective students on admission to the university and discusses eligibility with denied students. Advises and counsels new students on admission and transfer course credit.
    • Manages operational aspects of the Extended Education programs admissions process including, but not limited to conditional, freshmen, transfer, graduate and various government sponsored student admissions. Researches, proposes, and implements office-wide policies/procedures related to admissions processes.
    • Closely collaborates and coordinates admissions functions with stakeholders across the campus that support EE programs. Coordinates with academic departments to ensure a smooth enrollment process for students, application and admission criteria and protocols are adhered to.
    • Responsible for effective communication, policy interpretation, troubleshooting concerns, facilitating admissions exception approval processes, determining cycle flows, and making informed decisions. Working with various stakeholders to streamline admissions and independently ensuring deadlines are met are also key aspects of the role.
    • Serves on University committees, task force teams, and planning groups; and participates with on-campus and local recruiting efforts, including new student orientation, open houses, and admitted student events.

    Other Functions :

    Performs other job-related duties and special projects as assigned.

    KNOWLEDGE, SKILLS AND ABILITIES :

    Working knowledge of the principles of individual and group behavior; procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques; and of the principles of individual and group behavior.

    Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretive information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.

    MINIMUM QUALIFICATIONS :

    Education: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job- related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

    Experience: Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job-related field may be substituted for one year of professional experience

    PREFERRED QUALIFICATIONS :

    Must have excellent writing and oral communication skills. Must also have the knowledge and the ability to maintain academic records. Ability to clearly express ideas and recommendations orally; write clear and concise reports; work effectively and interdependently in a diverse university environment; establish work priorities and meet deadlines; collect, compile, analyze and evaluate data and make verbal or written presentations; apply complex rules and regulations to daily work; analyze academic qualifications and review foreign transcripts for validity and transferable credit; advise prospective students on courses and procedures necessary to complete admissions requirements and process; perform arithmetic calculations; ensure accuracy and assume responsibility with a minimum of supervision; work with computers in an on-line student record environment and with word processing software.

    Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent student information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers.

    • Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the University's liability coverage.
    • May require occasional evenings and/or weekend work.

    PHYSICAL ENVIRONMENT :

    Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
