Job Description

Job Summary:

Under the leadership of the Director of Outreach & Student Recruitment, in addition to guidance from the Senior Coordinator of Events & Visitor Services, the Special Programs Event Planner organizes and executes completion of broader and more complex departmental events to serve prospective and in-coming students and families, and community and campus partners. In coordination with campus partners, the Special Programs Event Planner plans and conducts marketing and promotional initiatives to engage prospective and incoming students and visitors and encourage event attendance.

Duties / Responsibilities Essential / Marginal
  • Utilize ingenuity in determining methods to achieve programmatic goals for enhanced event planning, communication services, while engaging and serving student and campus guests.
  • Supports publicity and promotional plans through interactions with on and off campus vendors.
  • Analyzes event budget data, monitors expenses and revenue against approved budgets; reviews policies and regulations to provide coordination for events.
  • Provides cost control monitoring within established budget parameters.
  • Plan, organize, and coordinates timelines for program planning and event execution to assure quality and maximize event attendance.
  • Recommend and carry out concrete problem-solving activities to maximize success in program execution.
  • Serves on cross-functional center teams, assisting with strategic planning initiatives and maintaining key liaison relationships with campus constituents.
  • Coordination with on-campus partners for housing, air and ground travel, and all logistical support.
  • Independent performance of varied or specialized administrative and analytical duties and/or service as a program administrator. Work is reviewed against goals and involves independently planning and performing research and participating in the development, alteration, implementation, and evaluation of the organizational unit's and/or program's policies and procedures.
  • Contribution to the completion of broader and more complex organizational or program projects and goals. Often provides project leadership or represents the work unit on key projects within and outside the organization.
  • Accountable for own work results which are reviewed for soundness of judgment.
  • Considerable judgment and discretion reflective of a thorough knowledge of a professional administrative specialty and/or program and/or policy areas need to be exercised. Policies and practices referenced for guidance.
  • Analyze and address problems using reasoning and the interpretation and application of theories and principles to develop and recommend alternatives and best courses of action.
  • Ingenuity in determining methods to achieve programmatic goals and develop and implement program policies required.
  • Work requires coordination with individuals at all levels within the organization. As needed, acts as a representative to outside entities.
  • As required, day-to-day program or work unit operations are overseen and lead work direction to administrative staff, including accountability for results, is provided.

Minimum Qualifications: Required Education and Experience
  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS two years of related experience.

Required Qualifications
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction

Preferred Qualifications
  • Possess strong communication skills, organizational skills, negotiation skills, strong budgeting experience, and have a track record of success in operational role in a fast paced, high volume service environment. Pivot quickly, operate calmly in high stress situations, and possess very high-level customer service skills is preferred. Ability to manage people, solve problems, and coordinate activities where direct supervision is shared.
  • Demonstrated ability to work with diverse constituents. Ability to function effectively as part of a high-performance team.
  • Strong proficiency in Office software, particularly Word, Excel, Outlook, and Access. Thorough mastery of English grammar, punctuation, and spelling. Working knowledge of broad array of student service programs and university initiatives.
  • Ability to complete work assignments while handling multiple expectations. Ability to produce very visible programs with political sensitivity. Ability to work with constant interruptions in a somewhat noisy environment and high stress level.

Compensation and Benefits:

Anticipated Hiring Range: $4,379 - $4,500 per month

Classification Salary Range: $4,379 - $7,922 per month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Work status: Full-time/Exempt/Probationary

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
