The City of Irvine is conducting an open recruitment for a confident, self-motivated, and detail-oriented Administrative Assistant. The Administrative Assistant will coordinate and perform a variety of highly responsible administrative support tasks for the Community Development Department. Specifically, this role assists in the preparation of memos, correspondence, agendas, and meeting minutes; and provides administrative coordination and maintenance of official City documents and records. This role directly supports various hearing bodies as well as a division manager.

Your Impact:
  • Directly supports the Planning Commission, Zoning Administrator, and Subdivision Committee hearing bodies as well as the Manager of Planning Services. This support includes preparation of agendas, facilitation of public hearings, taking meeting minutes, and coordination with other commission staff liaisons.
  • Acts as liaison between the division manager, clerical staff, City officials, and the public by screening and referring calls and messages.
  • Manages and maintains calendars, arranges meetings and conferences, and ensures deadlines are met by maintaining a system to inform and remind staff of assignments.
  • Maintains knowledge of overall City and Department/Division organization, responsibilities, and activities; modern office methods such as rules of grammar, spelling, and punctuation; and personnel supervision, training, and performance evaluation principles.
  • Trains other staff, as assigned, and may act as a backup to the Executive Assistant to the Department Director.

Minimum Qualifications:
  • Coursework (Community College) in office practices or related field.
  • Four years of increasingly responsible administrative support experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
  • May require a valid California driver's license.
