Job Description

Introduction

This Administrative Assistant Sr. position is in the IT department and performs a wide variety of duties involving maintaining enterprise communications accounts, research/ problem solving/ analytics, database maintenance, accounts payable, accounting reconciliation and monthly journal entries and activating cell phones and iPhones. This individual is responsible for hardware inventory verification and updates and will also be back up for purchase requisitions on technology purchases. Standard office duties include answering doors and telephones, purchasing office supplies, travel and training and web site updates.

Anticipated starting salary may be up to mid-point depending on candidate's experience and internal equity. The midpoint of this range is $31.63.

Minimum Qualifications

Education and Experience
  • A High School diploma or General Educational Development (GED) is required.
  • Four years in an administrative support position to include customer service / public contact experience.
  • Preferred: some college coursework.
Licensing, Certifications and Other Requirements
  • Every person employed by the City of Scottsdale shall reside in the State of Arizona during his or her active employment by the City, regardless of whether the employee is approved to remote work.
Other pertinent licenses and/or certifications may be required for some positions depending on department/section assignment.

Essential Functions

Performs duties and responsibilities commensurate with assigned functional area which may include, but are not limited to, any combination of the following:

All Assignments:
  • Coordinates completion of technical and administrative reports, and other management related reports.
  • Administers and manages professional and non-professional services contracts.
  • Coordinates day-to-day business operations for office including serving as first point of contact for customers by phone and in-person.
  • Ensures timely documentation and imposed deadlines are met.
  • Provides quality customer service in the course of professional duties and responsibilities.
  • Manages projects, planning processes and provides information and assistance as required.
  • Operates a computer and utilizes relevant business software applications and applicable databases.
