Job Description

DESCRIPTION

The Long Beach City Attorney's Office seeks to employ a Legal Records Assistant to perform clerical support work for its Litigation and Workers’ Compensation Division.

SPECIAL NOTE:

This is an "at-will" position. The appointed candidate will serve at the discretion of the City Attorney, and can be terminated at any time. In such an event, the candidate has no right to any appeal or grievance procedure under any rule or regulation of the City of Long Beach.

EXAMPLES OF DUTIES

  • Opens and organizes new files;
  • Scans, copies, and saves to the system large volumes of documents;
  • Assists with preparing discovery/pleading shells;
  • Sends requests for medical records to copy service;
  • Monitors and Tracks Workers’ Compensation Subpoenas;
  • Indexes and Sorts Medical Records;
  • Collates documents for court filings;
  • Prepares labels and envelopes for mailing;
  • Creates litigation binders for trials or hearings;
  • Files all papers into the physical files, maintains/organizes file cabinets by sorting, filing, and moving files from drawers;
  • Closes out physical files, updates file location in database and prepares the closed files for boxing and transfer to archives;
  • Provides office back-up and team support;
  • Assists with special projects as necessary or requested.


REQUIREMENTS TO FILE

  • Possess a minimum of a High School Diploma or GED; and
  • One year of paid clerical experience (preferably in a law office).
SUCCESSFUL CANDIDATES WILL DEMONSTRATE:
  • A strong knowledge of office procedures and equipment, computer skills, and a working knowledge of Microsoft Office products (Outlook, Word, and Excel);
  • Good organizational skills, detail oriented, and able to work with speed and accuracy;
  • Ability to communicate clearly and concisely orally and in writing;
  • Ability to use correct English grammar, punctuation, and spelling;
  • Ability to alphabetize or numerically/chronologically sort materials;
  • Sound judgment and decision making in accordance with office policies and procedures;
  • Ability to effectively prioritize multiple tasks and ensure timely completion;
  • Ability to work independently with only occasional instruction or assistance;
  • Ability to establish and maintain harmonious and effective working relationships;
  • Ability to interact professionally and tactfully at all times;
  • Good attendance, professional appearance and demeanor.
