Description

The Jury Clerk under minimal supervision, performs all the responsibilities for the jury department to ensure the procedures are carried out according to statue, office and county policy. This position assists with overseeing, evaluating and coordinating activities associated with jury and grand jury procedures, including, but limited to, summonsing jurors, data entry and imaging, rescheduling and excusing jurors, providing excellent customer service to assist jurors as efficiently as possible and to represent the county in a professional manner, makes recommendations and advises judicial officers of any issues.

Examples of Duties

Assists with orientation sessions for jurors, advising jurors of process, rules and regulations, answers inquiries, records attendance, creates and updates computer juror records regarding personal information, postponements and excuses by judicial officers. Provides each court with an accurate list of jurors and provides jurors with accurate instructions.

Utilizes specialized jury software and various word processing and file maintenance programs to enter, store and/or retrieve information; maintains pertinent files and records; scans and copies documents as necessary and ensures files are complete and accurate.

Contributes to planning and research to develop improved software application, juror online questionnaire and juror summoning procedures. Assists in coordinating with the Technology Department, our vendors JSI and Variverge to guarantee that all programs meet the requirement of state laws regarding jury.

Answers phones, greets visitors, and responds to inquiries related to the department; prepares office correspondence on behalf of jury department; maintains office supplies inventories, oversees inventory allocation; processes incoming and outgoing mail; and schedules and maintains calendar for the Jury Assembly Room.

Prepares jury docket for each jury week, prepares juror instruction letters, coordinates with all courts to ensure they are still in need of jurors or if their cases have canceled.
Maintains and prepares juror payroll records for both petit and grand jurors. Reviews and records attendance for sworn case jurors, resolving any issues and/or problems related to jury payroll and distribution of juror donations to approved charitable donations. Provides payroll reports to County Treasurer's office for payment processing.

Creates and submits electronic juror data files for summoning to outside vendor; assist with identifying and correcting any issues in regards to the accuracy and completion of jury summons to print vendor and ensuring process is completed correctly. Coordinates with vendors to ensure summons are mailed timely.

Reviews, schedules and updates jury panel requests from District, County and JP Courts in jury software and jury trial calendar.

Assists with compiling a list of failure to appear jurors who will be ordered to appear for a show cause hearing before one of the District or County judges. Prepares files, juror history, motions and orders for the court, issues show cause notices and writs of attachment as ordered by the judge for those delinquent jurors.

Coordinates with court bailiffs to receive attendance information for all assigned and returning jurors in order to keep accurate juror attendance records.

Assists with summonsing grand jurors. Works closely with DA Prosecutors, Grand Jury Investigator and District Court Judge to ensure a qualified and sworn panel.

Assists in training of part-time or back up jury staff in the jury processes and procedures. Helps less experienced staff with difficult jury questions and issues.

Regular and punctual attendance is required.
Performs other related work as required.

Minimum Qualifications

High School Diploma or GED and a minimum two years of experience in a related field; or an equivalent combination of education and related experience required.

Supplemental Information

Bilingual in English and Spanish preferred.
