ADMINISTRATIVE ASSISTANT/RECEPTIONIST
Administrative Support Assistant II
Office of the President

Salary Range: $3,680 - $5,417/Monthly (Budgeted Hiring Salary Range $3,680 - $4,166/Monthly)

Work Schedule : Full-Time, Monday - Friday, 8:00 a.m. to 5:00 p.m.; non-exempt classification.

Essential Functions : Reporting to the Assistant to the President, the Administrative Support Assistant will primarily serve as the front-desk receptionist and will provide general office and administrative/clerical support for the Office of the President. Additional functions of the role include standard clerical and administrative tasks such as preparing and drafting correspondence, maintaining standard and electronic records and files, arranging meetings and events, assisting with travel requests and expense reports, ordering of office supplies, troubleshooting office technology problems and systems, and maintaining assigned Outlook calendars, schedules, and appointments.

Required Qualifications & Experience : Two years of customer service and/or general office clerical work experience or equivalent combination of education and experience. The incumbent must have effective verbal, listening and written communications skills; fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; present a poised, professional, mature presence, exercise sound judgment, and have strong interpersonal skills; and excellent interpersonal skills. The incumbent must have proficiency using Microsoft Word, Excel, and Outlook. The incumbent must have the ability to work with frequent interruptions and maintain composure; respond to unexpected situations quickly with good judgment and with a calm and professional demeanor; perform basic mathematical calculations; work in a team environment; and to work accurately with attention to detail and discretion in handling highly confidential material. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University. Desired Qualifications : Experience in higher education. Well-developed computer skills are essential. Prior experience in a customer service support role.
