Pay Plan: 10 month (positions works 10 months a year, paid over 12 months)

Salary Range:
  • Hiring salary is budgeted/anticipated at $6,019 - $6,500 per month commensurate with education and experience
  • CSU Salary Range: $6,019 - $8,585 per month.

Position Summary:

Under the general supervision of the University Registrar, the Academic Success Program Coordinator (ASPC) will assesses the diverse and highly complex academic needs of the student population and develops, delivers, and manages programs to meet those needs. Duties include the following: follow-up and assessment of program offerings, a high level of interpersonal skills to interact with faculty, and identifying and implementing solutions to improve student success. This requires managing and expanding tutoring support services, which includes recruiting, training and evaluating Instructional Student Assistants. The ASPC resolves highly sensitive and complex student group issues and addresses program-wide organizational matters.

This position monitors and maximizes the program budget and collaborates with faculty and academic departments to implement impactful tutoring services and access. The position plans, develops and conducts Student Services-related instructional sessions, courses and seminars that offer academic skills sessions as part of evolving first-year experience or other success program in collaboration with faculty. This position will partner with various departments to support campus efforts to provide intervention for students identified as "at-risk."

About the California State University Maritime Academy:

Established in 1929, California State University Maritime Academy, a campus of the California State University, is the only degree-granting maritime academy on the West Coast. Located on the scenic Vallejo waterfront, the campus serves a student population of approximately 1000 undergraduates and 50 graduate students.

Cal Maritime offers seven baccalaureate degrees in Business Administration, International Strategy and Security, Facilities Engineering Technology, Marine Engineering Technology, Mechanical Engineering, Marine Transportation, and Oceanography. The undergraduate curriculum includes licensing programs for future merchant marine, coast guard, and naval reserve officers. Cal Maritime also offers a Master of Science in Transportation and Engineering Management degree, as well as a number of extended learning programs and courses.

Major Responsibilities:

Academic Support
  • Assess learning support needs reported by faculty and students and execute nationally recognized best practices for learning support for all students.
    • Monitor current educational trends in higher education by attending conferences and webinars. Share best practices with CSUMA faculty and train ISA cadets on current tutoring techniques.
  • Advance, evaluate and continuously improve learning support practices with goal of serving the unique needs of the Cal Maritime student body.
    • Assess program impact through data analysis and metrics. Measure programs impact every semester and create an action plan to increase student participation.
  • Take lead in educating all campus members, particularly faculty, about diverse learning styles, needs, and best practices for providing equitable academic support at Cal Maritime.
  • Apply tutoring best practices to develop and continually update the training material used to prepare all student tutors, at both beginning and advanced levels; continue trainings to maintain CRLA International Tutor Training program certification.
  • Oversee daily academic tutorial services, including coordinating Supplemental Instruction (SI) schedules, maintaining Learning Lab locations, and fielding communications.
  • Collect, analyze, summarize, and present data to identify areas of programmatic growth, redesign and/or refinement, develop appropriate solutions to emerging challenges, allocate resources effectively, and produce timely updates.
  • Identify student needs for Academic Support in partnership with University Advisors and faculty, engage in both short- and long-term planning for academic support initiatives at Cal Maritime.
  • Lead initiatives related to Student Success at Cal Maritime, developing and maintaining interdepartmental partnerships with faculty and staff to set strategic goals and objectives, define expectations/priorities, and discover opportunities for programmatic growth and/or refinement:
    • Participate in the various meetings and relevant events
    • Collaborate with University Advisors to provide Early Alert outreach to students identified as "at-risk" of failing coursework; advise individuals of options, outcomes, and available campus support services.
    • Collaborate with Coordinator of Accessibility & Disability Services to ensure effective academic support for students with learning differences is provided.
    • Collaborate with other university departments (including the Library and other academic departments) to introduce and/or support other student learning needs as warranted, e.g., basic skills support, first-year academic skills, upper division course support.
    • Communicate with Faculty regarding students in need of tutoring support
    • Increase Freshman participation in tutoring services

Budget and Policies
  • Forecast and draft annual budgetary plan within allocated resources based on program data to fund program needs and wages for Instructional Student Assistants (ISAs) and other program needs.
  • Interact with Academic Affairs Budget Coordinator regarding Tutoring program budget
  • In compliance with CSU and Cal Maritime policies, create and codify policies, procedures, and processes that ensure equitable, fair, and effective use of all services.

Tutoring
  • Strategically plan and develop programming for tutorial services
  • Provide learning-oriented workshops for programs, departments, and classes
  • Recruit, train, schedule, evaluate, and mentor ISAs; hold regular group and individual trainings with them; provide them with insights into best practices, with an understanding of the responsibilities and expectations of their role and of Tutoring Services operations. Conduct ISA Orientation every semester to train cadets on current tutoring techniques; incorporate techniques for tutoring diverse student populations
  • Implement university-wide campaigns promoting Tutoring Services and other services; maintain and continually update user-facing web properties, electronic and print materials (including ISA handbook, Tutoring Services user protocols).
  • Approve Cadet timecards in CHRS
  • Use CHRS for hiring and rehiring ISA students, draft job postings and facilitate full cycle candidate flow in the system.

Required Qualifications:
  • Experience: Possession of these knowledge and abilities are typically demonstrated through the equivalent to four years of progressively responsible professional student services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex student services problems.


  • Education: Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job related.

A master’s degree in a job-related field may be substituted for one year of professional experience. A doctorate degree and the appropriate internship in a job-related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.

Knowledge, Skills and Abilities:
  • Analyze complex student-related matters accurately, draw valid conclusions, and propose various alternative courses of action;
  • Demonstrate strong understanding of the range of student learning styles and multiple ways to support them;
  • Advise students individually and/or in groups on complex student-related matters via workshops, tutor training and development;
  • Work independently to develop and maintain excellent tutorial services;
  • Determine the appropriate course of action and proper techniques to utilize while engaged with individuals and groups in personal interactions of a sensitive nature;
  • Use initiative and resourcefulness in planning work assignments and implement long-term program improvements;
  • Effectively organize and manage tasks in a fast-paced, team-oriented work environment;
  • Establish and maintain cooperative working relationships with students, staff, faculty, and other members of the university community from diverse ethnic, cultural, and socio-economic backgrounds;
  • Collect and evaluate data, draw valid conclusions, and project consequences of various alternative courses of action;
  • Use annual data to evaluate success of all programs in the area and to determine next steps for continuous improvement;
  • Interpret and apply program and university policies and procedures;
  • Be responsive, innovative, results-oriented, and student-centered in helping students fulfill their academic program requirements and meet campus goals.
  • Work collaboratively with departments to provide students with support as needed
  • Ability to establish and maintain effective, cooperative and harmonious working relationships in circumstances which involve the denial of requests or the necessity to persuade others to accept a different point of view.

Preferred Qualifications:
  • General knowledge of campus and CSU policies, procedures and practices preferred.
  • General knowledge of the principles, problems, and methods of public administration, including organizational, personnel and fiscal management
  • General knowledge of advanced statistical and research methods
  • Pedagogical theory, including theory and practice of tutoring
  • Experience in a classroom and advising students individually or in a group setting is preferred.
  • Tutoring oversight experience is preferred
  • Experience with Passport Navigate

Some work may occur in evenings or on weekends

Hours of Work: Monday - Friday, onsite, regular business hours

Physical, Mental and Environmental Conditions:

Involves mainly sitting with up to 25% of the activities involving regular standing or walking; involves lifting of medium weight objects limited to 25 pounds.
