Job Summary:

Under general direction, independent coordination of entire clerical and administrative support functions and performance of secretarial and administrative work related to the Library and Dean. Position will use ingenuity to coordinate and respond to a broad range of operational and procedural office and administrative problems which may at times require research, analysis, and evaluation of information. Large scale, complex projects with broad, visible impact that involve coordination with other departments are planned and executed. Projects are coordinated through initiation, execution, coordination, implementation, and evaluation. Provides lead work direction to Student Assistance and lower level staff.

Duties and responsibilities

Under general direction, independent coordination of entire clerical and administrative support functions related to library operations, including, but not limited to, office equipment, supplies, records, files, event planning, hospitality expenditures, student workers, timekeeping /absence management, and system access. Work includes, but is not limited to, placing orders, maintaining office inventory, creating and maintaining logs, sending correspondence, processing requisitions, and providing campus stakeholders with information. Uses ingenuity to troubleshoot a broad range of operational, procedural, and administrative problems which may at times require research, analysis, and evaluation of information, including, but not limited to, working with students, faculty, and staff to assist them or resolve problems.

Under general direction, independent coordination of office support to the library Dean, including but not limited to, arranging meetings and events, making travel and other arrangements, compiling department activities, programs, and/or events, budgets, and financial data, compiling and preparing various reports, as well as preparing and composing correspondence. Interaction at the highest levels within and outside the university by acting as contact and resource for campus stakeholders to build campus relationships to expedite work and projects.

Under general direction, independent coordination of large scale, complex projects for the library, includes but is not limited to, student assistant hiring, projects & events initiated by the Dean’s Office and other library units. Work includes entire coordination of project through initiation, execution, coordination, implementation, and evaluation. Project needs are identified, detailed plans are outlined, projects are initiated and coordinated, and work is delegated.

Under general direction, independently provide lead work direction to student assistants. Work includes scheduling, workflow planning. assigning work or giving directions, monitoring work, training employees, orienting employees, providing input into Employee Selection (Hiring), and providing input into performance evaluation.

Under general direction, independently provide lead work direction to other library staff. Work includes training and orienting employees. As well as workflow planning and assigning work or giving direction related to projects and event coordination. Act as back up for other Administrative Support positions, including Building ASA as needed.

Other classification related duties as assigned.

Minimum Qualifications:
  • High School diploma or its equivalent
  • Five years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications:
  • In addition to Position Skill Level I knowledge and skill requirements, work assignments typically require:
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.

Preferred Qualifications:
  • Experience in PeopleSoft and Concur.
  • Functional knowledge of an skill in standard office procedures and practices, as well as an ability to understand and operate in variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.


Compensation and Benefits:

Anticipated Hiring Range: $4,058 - $4,275 per month

Classification Salary Range: $3,865 - $6,336 per month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Full-time Non-Exempt Probationary

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment. Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

Campus Security Authority

This position is designated as a Campus Security Authority (CSA) position under the federal Jeanne Cleary Disclosure of Campus Security Policy and Campus Crime Statistics Act. CSAs are responsible for reporting allegations of Clery Act Crimes reported to them or that they witness. CSA training is required.
