Job Description

Job Summary

Under the direction of the Associate Director of Housing and Residential Life Operations, the Housing Occupancy Analyst offers a range of services to on-campus residents, prospective residents, and the public. This role collaborates closely with the HRL Associate Directors to maintain housing occupancy data records and generate various occupancy reports as needed. The Analyst also ensures the accuracy and compliance of data within the StarRez system, adhering to University policies and procedures.

Additionally, the position is dedicated to delivering equitable, inclusive, and culturally sensitive services that enhance campus life quality, retention, and graduation rates. Key Responsibilities
  • Housing Occupancy and Customer Relations: Coordinate housing occupancy for both general students and special interest groups, addressing housing insecurity. Manage communication systems and provide timely customer service.
  • Administrative and Analytical: Perform a variety of administrative and analytical duties for the day-to-day administration of Housing Programs, including special assignments and report preparation.
  • Lead Student Assistants: Train student assistants (SA) in University Housing procedures/policies, customer service, general office work, and how to address issues regarding confidentiality.

Knowledge Skills and Abilities

Thorough knowledge of office systems and ability to use a broad range of technology, systems, and software applications. Ability to independently handle multiple work unit priorities and projects. Ability to draft and compose correspondence and standard reports. Excellent oral communication skills and effective interpersonal skills required. Incumbent must have experience processing, answering and following-up as needed with office mail, phone calls, email and in-person visitors. Must be able to respond to complex inquiries from the public, residents, parents, prospective residents, CSULB employees and students. Excellent writing and editing skills. Be able to compose and proofread professional letters, proposals, reports, meeting notes, invitations and announcements. Experience with editing and proof-reading a variety of written documents and publications. Skill in sound time management including prioritizing assignments to complete work in a timely manner. Flexibility with changes in workload, under pressure of deadlines, competing requirements, heavy workload and constant interruptions. Ability to work under pressure and remain calm and focused, and to calm and give focus to others in an extremely hectic fast-paced work environment. Skilled in analyzing information, problems, situations, practices, or procedures to define the problem or objective; identify concerns or factors, patterns, relationships; formulate logical and objective conclusions; and recognize alternatives and their implications.

Ability to exercise sound judgment and handle confidential matters as may be required to protect the rights of individuals or the University. Skilled in working independently or with minimal direction, in setting priorities and schedules and in identifying and adhering to departmental objectives. Ability to apply independent, reasoned judgment, discretion and initiative to address problems and develop practical, thorough and technically accurate solutions. Experience with a Microsoft Office/Office 365 Suite and Adobe software to ensure that incumbent will be able to prepare a wide variety of correspondence, reports, forms, brochures, flyers, agendas, minutes, advertisements and text for printed materials and web pages. Knowledge of Adobe Creative Suite. Experience maintaining an administrator’s calendar, arranging meetings, establishing agendas and participating in meetings with small and large groups of people.

Ability to provide excellent customer service to the Campus community, vendors, and other outside agencies. Skills in performing customer service in a polite and timely fashion: ability to identify what customer needs and reroute him/her to the correct department; ability to relay customer requests and complaints accurately and appropriately; to describe and convey services provided by the Division. Experience with working in a diverse, multicultural university environment. Ability to coordinate and organize a complex and continuously changing array of information, including dates, places and personnel in a systematic and efficient way. Skilled working in a team environment in a collaborative manner with all levels of organization. Skill in making travel arrangements; familiarity with airline schedules, rental car reservations and University travel regulations, etc. Experience working in a university setting or housing office preferred. Ability/willingness to commit to all university policies, procedures and guidelines including but not limited to safety, civility, information security and non-discrimination policies and procedures. Ability to operate office equipment such as fax machines; copiers; calculators and LCD projectors; scanners, etc. Ability to develop and maintain proactive working relationship with students, faculty, staff and external constituents. Ability to work some weekends and a flexible work time as needed and determined by operational needs.

Working knowledge of standard safe work practices. Ability to consistently report to work on time prepared to perform the duties of the position. Ability to make ethical decisions that align with the University commitment to Diversity, Equity, Inclusion, and Accessibility.

Serve on department, division, and campus committees as needed. Available to work weekends as needed.

Education and Experience
  • Equivalent to a bachelor's degree in a related field and two years of related experience required.
  • Bachelor’s Degree Preferred.
  • Experience with occupancy management or databases preferred.
  • Occasional evening and weekends.

Physical Summary

Light work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.

A Valid CA Driver's License, preferred.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $3,694 - $5,783 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,694 - $7,131 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
