Position Summary

The Administrative Support Coordinator II (ASC II) provides administrative and academic program support for the Department of Family and Consumer Sciences (FACS). The incumbent works directly with the Department Chair and Instructional Support Assistant on various tasks and projects, involving evaluation and recommendations related to operational and procedural matters. Coordinates all administrative and clerical support functions and performance of administrative work pertaining to the department’s programs: BS in Family and Consumer Sciences, BS in Family Studies and Human Development, BS in Fashion Merchandising and Management. The ASCII works independently under general direction of the Chair and College of SSIS administration, on large-scale, complex projects through initiation, execution, coordination, implementation, and evaluation. The ASCII is responsible for managing the department’s enrollment, academic schedule, budget and purchasing, and works closely with the Chair on personnel-related matters when appropriate.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: $3865 per month - $4058 per month, commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: $3,865.00 per month - $ 6,336.00 per month

Department Information

The Department of Family and Consumer Sciences offers three distinct programs, two minors and one certificate. The focus of these programs is to enhance the skills and knowledge that will promote the well-being of individuals, families, and communities. Our programs and professions focus on individuals and families in order to achieve an optimum balance between people and their environments. Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and
practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally,

incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to

clearly communicate. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The

ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program,

or their equivalents combined with several years of related office work experience.

Required Qualifications

1.Experience coordinating and/or performing day-to-day clerical and administrative support functions in a complex administrative environment.
2. Experience setting priorities, meeting deadlines, and evaluating and making recommendations pertaining to operational and procedural matters.

3. Expertise with office software packages (e.g., Microsoft Office, Adobe) and equipment and the Internet.

4. Strong organizational and multi-tasking skills and ability to initiate, coordinate, execute, and evaluate large- scale, complex projects that may involve coordination with the College and/or other departments.

5. Ability to provide lead work direction, training, and guidance to student assistants. Provide input to performance evaluations, when needed. Assumes accountability for student assistants work flow and work completion.

6. Ability to work with frequent interruptions.

7. Ability to work creatively and independently under general direction related to departmental goals.

8. Ability to interpret and apply policies and procedures independently and use judgment and discretion to act and make decisions and recommendations when precedents do not exist.

9. Ability to prepare correspondence and utilize spreadsheets and databases.

10. Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling.

11. Ability to develop, research, analyze, evaluate, and recommend innovative solutions to a broad range of operation and procedural office and administrative problems.

12. Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations.

13. Experience maintaining sensitive and confidential information and demonstrated ability to use discretion regarding confidential matters.

14. Demonstrated ability to work with people from diverse backgrounds.

15. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

Preferred Qualifications

16. Experience working in higher education.

17. Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.

18. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.

19. Knowledge of budget policies and procedures, scholarships, and financial record tracking.

20. Proficiency with online business processes/platforms, such as Common Management System (CMS), Human Resources / Student Administration (HR/SA); Cognos, Cascade, Concur, Saclink email; Financial Data Warehouse; Blackbaud; OnBase, OneSolution, OneDrive, PageUp, Canvas, CFS Finance Access, EAB, SacSend 2.0, Qualtrics and/or Add/Drop procedures.

21. Three years of experience working in an academic department office, including course scheduling, travel processing, faculty and staff hiring, budget forecasting and reconciliation, supervising students, public contacts, and student interaction.

22. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.

24. Ability to use social media to professionally represent the workplace
