Job Description

    • Position Summary
    • Full-time position available on or after September 9, 2024 for Academic Affairs at CSUS Stockton.
      The Administrative Support Coordinator I role serves as a pivotal connection point within the Stockton Campus, fostering seamless coordination and support across departments and stakeholders. This position plays a crucial role in ensuring efficient administrative operations, event coordination, communication facilitation, and operational assistance, all contributing to the Stockton Campus overall effectiveness and success.

    • Job Duties
    • Duties include but are not limited to:
      • Serve as a resource for the campus community and public on university policy and procedures.
      • Communicate effectively with stakeholders and provide support for academic programs, student services, and campus events.
      • Liaise with several university departments for operational coordination.
      • Assist with student registration and handle add/drop transactions.
      • Assist with resolving admissions, records, and registration issues.
      • Perform cashiering duties, including fee collection, account postings, and academic hold releases.
      • Maintain and update classroom schedules, assist with room scheduling, and coordinate events.
      • Manage social media channels and website maintenance for community engagement.
      • Coordinate meetings, prepare agendas and documents and record minutes.
      • Provide support for event logistics, managing contracts and agreements, coordinating publicity materials and activities, and supporting community outreach efforts.
      • Other duties as assigned.
    • Minimum Qualifications
    • Education: Completion of a high school program, technical/vocational program, or their equivalents.
      Experience: Several years of related office work experience.
    • Preferred Qualifications
      • Bachelor's degree in a related field.
      • Minimum of 2 years of experience in coordinating administrative functions in a large academic or administrative office setting.
      • Experience working in higher education.
      • Proficiency in specialized software such as 25Live, Canva and PeopleSoft.
      • Proficient in both English and Spanish.
    • Knowledge, Skills, Abilities
      • Experience to be fully functional in all technical aspects of work assignments.
      • Ability to understand and operate in a variety of organizational structures.
      • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
      • Thorough knowledge of English grammar, punctuation, and spelling. Ability to clearly communicate orally and in writing.
      • Ability to use and quickly learn new office support technology systems and software packages.
      • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
      • Ability to independently handle multiple work unit priorities and projects.
      • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
      • Working knowledge of budget policies and procedures.
      • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
      • Ability to draft and compose correspondence and standard reports.
      • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
      • A background check (which may include: fingerprinting, checks of employment records, education records, criminal records, civil records, motor vehicle records, professional licenses, and sex offender registries, as position requires) must be completed satisfactorily before any candidate can begin employment with the CSU.
    • Special Conditions
      • Required to regularly work from 10:30 am to 7:30 pm, Monday through Friday.
      • Ability to occasionally work weekends as needed.

    • Salary Range
    • Anticipated salary will be $3,680 - $4,048 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Administrative Support Coordinator I range: $3,680 - $5,783 per month)

    • Commensurate with qualifications and experience.
