Job Description

Job Summary

Manages an office of approximately 125 academic employees, which includes 30 tenured/tenure-track faculty 1 FERP, 63 Lecturers, 14 Teaching Assistants, and 17 Instructional Student Assistants, as well as supervising 3 full-time staff: ftes of 1,110.65 with five BAs (764), second majors (17) four minors (55), a certificate in Professional Writing (37) and an MFA and an MA (122). Serves as the primary resource for information regarding Department policy and practice for faculty, students, and staff providing continuity in policy and procedure; maintains Department budget and records; and completes faculty and staff hiring.

Key Responsibilities
  • Understand, disseminate, and implement procedures, policies, and practices - Advise/consult with Chair on all department objectives, goals, projects, and priorities.
  • Budget and fiscal records - Manage budgets for all funds which include general fund, continuing education accounts (CERF) for English Department, and Foundation accounts for English Department, and grant accounts. Provide budget information to Chair, and others as required.
  • Personnel -Create systems to expedite all personnel-related functions-hiring, evaluation, assigned time, workloads, and contracts.
  • Supervision - Coordinate all clerical functions in this large department office, including planning individual assignments, training staff, and making assignments based on office workload and deadlines.
  • Departmental record-keeping, records processing, reports, and written material preparation - Coordinate all aspects of the scheduling process, including on-line data entry of courses, room selection, assignment of faculty to classes room changes, cancelled classes, added classes, permit process, and special needs of programs, faculty, and students.
  • Arranging Events and Activities - Plan events or activities with chairs input.

Knowledge Skills and Abilities

Advanced problem-solving and organizational skills are required in the administration of the varied tasks performed in this position. Managerial, supervisory, and interpersonal skills are required for the daily delegation and supervision of assignments performed by the Psychology Department’s Office staff. Knowledge of budget and fiscal resources, allocations, and accountability. Provide professional representation for the department to all constituencies. Develop and deliver essential information through written and oral interactions. Establish and maintain collaborative working relationships with program faculty, academic departments, the dean’s office, and a variety of offices and individuals on and off campus. Working knowledge of Windows, Word, email, spreadsheets, databases (particularly CMS and Ad Astra), and webpages.

Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Bachelor’s degree or equivalent and two years of related experience required.

• Bachelor’s degree preferred.

• Academic department or program experience preferred.

Physical Summary
  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,694 - $7,131 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
