Hours per day: 8

Salary Level: PT Level 5 - Range is $29.32/hour - $41.96

This is a Temporary position which will end upon return of staff member, which is anticipated to be the beginning of January.

Examples Of Duties

ESSENTIAL JOB FUNCATIONS

This position, under guidance of the administrator, collaborates with District schools and community partners to coordinate scheduling of athletic and other events at Tacoma Public Schools (TPS) facilities and campus sites; works together with Facilities staff for schedule accuracy; monitors and audits events at all facilities and campus sites; performs analysis of event processes; supports financial operations relative to events and athletic facility utilization.

1. Assists administrator in the implementation of a comprehensive Facility Use program to include District, partners, and community events, athletics, and interscholastic athletics program.

2. Directs, under the guidance of the administrator, and administers facility scheduling software while monitoring use of District Facilities and community users; ensures program is up-to-date with all facility use schedules including: internal school, District, athletics, maintenance use, external partner/community use, and required rental documents.

3. Acts as first point of contact and operates as liaison for facility usages and events; focuses on the availability of District facilities to meet community expectations and engagement.

4. Monitors events staff by maintaining active, visible involvement at events and ensuring adherence to established procedures.

5. Oversees events and athletic contests held at District Facilities.

6. Assess completed activities for quality control and identification of improvement opportunities; creates Facility Use dashboards to include usage by the District, District partners, and the community.

7. Performs budget tracking and analysis; projects budget needs and makes recommendations; provides assistance and expertise to clerical staff in budget tracking activities, recommends methods and processes, provides training and coordinates and trains facility use event support staff as directed, and, as needed.

8. Monitors and maintains, under direction of the administrator, event cost accounting; monitors budget expenditures and burn rate; monitors progress of, and maintains documentation for, events; coordinates with other departments for event staffing needs and required overtime; analyzes actual cost compared to estimates.

9. Develops various reports using database software for both staff and management use; develops and implements computer programs to interface the database records with the automated maintenance system, as directed and as needed.

10. Submits work orders when facility maintenance needs are identified; determines equipment needs; monitors safety and security of facilities; responds, under guidance of the administrator, to inquiries and/or complaints from the staff and public.

11. Compiles information on participation of students.

1. Provides back up assistance to department staff, as needed.

2. Maintains and updates knowledge and skills required for success in the position by participating in professional development activities, as needed, or as assigned.

3. Performs related duties as assigned, on a temporary basis.

4. Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.

CONDITIONS

Required to respond to, and defuse, if appropriate, difficult and sensitive situations and/or people; exposed to prolonged visual concentration and video display; required to travel to District sites and other locations; may be required to work outdoors in inclement weather; may be exposed to loud equipment; required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, hear, speak and be mobile.

Minimum Qualifications

Education and Experience

High school graduation or equivalent; Associate degree in business, sports management, or related field; three years of experience in office environment, and multi-crafts trades field using technology, athletics environment, preferred; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

Licenses/Special Requirements

Valid Washington State drivers’ license.

Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.

Allowable Substitution

Equivalent combinations of education and experience will be evaluated by the Human Resources

Department for comparability.

Knowledge of building maintenance and custodial practices is preferred.
