EVENTS AND PROJECT SPECIALIST
Confidential Administrative Support (Exempt)
Office of the President

Salary Range: $4,464 - $10,689/Monthly (Budgeted Hiring Salary: $6,250 - $7,917/Monthly)

Work Schedule : Full-Time, Monday - Friday, 8:00 a.m. to 5:00 p.m.; Occasional evening, weekends, and travel required; exempt classification.

Essential Functions : The Events and Project Specialist reports to the Chief of Staff and provides various confidential executive, administrative, and project management responsibilities for the Office of President. These responsibilities include researching, planning, coordination, implementation, maintenance, and ongoing support to key initiatives and programs impacting the delivery of services to students, faculty, and staff. In this Confidential role the incumbent will use independent determination of methods to meet assigned tasks and deadlines while maintaining a high level of confidentiality, exercising tact and judgment on all matters. The Events and Project Specialist plays an integral role for the President's organizational team (Office of the President, Strategic Communications, External and Government Relations, and Community Relations). The incumbent will execute demonstrated ability to provide executive support, project management, event planning and work collaboratively in a team environment, as well as a strong commitment to supporting various campus wide constituents. This is a multifaceted position that will support the planning and coordination of events that highlight
and celebrate faculty and student research, scholarship, and creative activity, engage community members and stakeholders, foster a sense of community, and promote Cal State LA's brand. This position requires the highest level of professionalism, discretion, and a working knowledge of the University, CSU, and State of California infrastructure, policies, and procedures. The incumbent performs and/or coordinates highly sensitive and confidential operational and project management work for the Chief of Staff and Office of the President. Tasks include collecting, compiling, researching, and analyzing data; drafting documents and complex confidential reports and correspondence; makes recommendations as appropriate to management. Will participate in the University's strategic planning process and provide support to the Chief of Staff and strategic planning committee. Work assignments will require growth in knowledge of the functions of the office as related to the overall campus and system wide environment. Manage multiple projects and deadlines in a timely manner. Interpret, communicate and apply policies and procedures.

Required Qualifications & Experience : A bachelor's degree from an accredited college and/or four-year university and three years of administrative, project management, or operational work or a combination of education and experience that demonstrates the ability to perform the essential functions of the position. The incumbent must have proficiency and experience with computer applications including Microsoft Office Suite. The incumbent must have a commitment to quality while exhibiting a commitment to professional judgment and a meticulous attention to detail and accuracy. The incumbent must have a professional demeanor, confidence, and willingness to adapt to changes and address challenges. The incumbent must have exceptional communication skills, both written and verbal; strong time-management skills and organizational skills to address, prioritize and coordinate multiple projects, problems, and activities concurrently; strength as a proactive problem solver with skills in problem identification and resolution; and strong analytical, interpersonal, conflict resolution and written/verbal skills. The incumbent must have the ability to analyze and find solutions to problems, work independently, communicate effectively, and write clear and concise reports; work effectively with a wide range of constituencies in a diverse community; create, compose, and edit written materials; investigate and analyze information, reason logically and draw conclusions; gather and organize documents; manage multiple projects and deadlines in a timely manner; and interpret, communicate and apply policies and procedures. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University. Desired Qualifications : Experience working in a fast-paced, high-volume, executive office environment, performing project management, operational duties, and providing support to executives. Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service centered attitude.
