PURPOSE:

Under the general supervision of the Director of Operations Support and Innovation (OSI), the OSI Analyst- Operations Support, provides application security for all OSI supported applications, configuration, data analysis, troubleshooting, testing, data maintenance, project management support and implementation. They collaborate closely with colleagues in the OSI department, the Information Technology Office, and other campus departments to resolve system issues, establish operating procedures, and distribute information. Additionally, the OSI Analyst will work with or under the guidance of Lead OSI Analyst.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following :

Develop and Maintain Application Security
  • Initiate and maintain record of systems access for all Finance and HR applications including but not limited to CFS, CMS, Employee Resource, Cashnet, BankMobile, Payment Works, Concur Travel and Finance Data Warehous.
  • Troubleshoots security/access related issues.
  • Coordinate with campus IT security administrator to ensure Finance and HR application access is executed appropriately.
  • Conduct quarterly and annual audits for all finance and HR applications. Assit Finance leadership with any security audit reviews and responses.
  • Consult Finance and HR leadership to identify appropriate system access for staff; test, assign and modify roles as needed; ensure appropriate segregation of duties is upheld.
  • Develop functional roles and permission lists for functional staff as necessary. Build, implement and maintain roles and associated permission lists in HR and financial applications.

Finance, HR and Student Financials Application Maintenance and Support
  • Create and Update chartfields in applicable systems (eg CFS, Student Financials, etc.)
  • Ensure chartfields created in CFS are updated real-time in the OASIS and CMS Employee Resources.
  • Integration Broker support and troubleshooting. Coordinating with IT for any IB testing.
  • Assist with testing and coordination of Finance, Student Financials and HR application upgrades and Patches.
  • Addresses common problems of limited scope and refers complex problems to senior level analysts in the department.
  • Monitor and manage the department email folder. Take appropriate action and provide basic troubleshooting to the OSI customers. Escalate communications to other team members when necessary.

Documentation and Training
  • Assist the change management process for new projects by working with functional units.
  • Develop documentation required for application maintenance, including but not limited to training documentation, process maps, business process guides, etc.
  • Deliver application trainings to the department end users.
  • Assist in developing online training material (for example, within the SumTotal application, videos, etc)

Business Process Analysis and Process Improvement Tools
  • Consults with end-users to understand business processes (business process mapping)
  • identify gaps, define business problems, analyze data, and collaborate on possible solutions.
  • Utilize collaborative work management tools like Smartsheet, vizio, lucidcharts, etc for business process improvements
  • Develop and collaborate with IT on rolling out OnBase forms.
  • Develop and collaborate with IT on rolling out new Adobe Sign forms.

Operations Support and Innovation Engagement
  • Participates in CSU system-wide conference calls as necessary.
  • Serves as a liaison to the system wide HUG and subcommittee groups.
  • Attend conferences and other professional training as applicable.
  • Assist and/or provide backup support for other OSI staff.

Other Functions :

Performs other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES :

Knowledge: Knowledge of information technology systems and/or applications, including campus wide systems and multimedia environments, access procedures, networks, and/or databases. Knowledge of data administration principles and techniques. Knowledge of network administration. Knowledge of training theory and practices demonstrated by an ability to develop and deliver technical training and User documentation. Knowledge of statistical and/or research databases.

Skills: Proficiency using standard software packages. Demonstrated interpersonal and communication skills in working with users to interpret needs and provide appropriate solutions. Subject matter expertise in a specialized discipline or body of knowledge.

Ability: Ability to apply consultative skills to assess user needs and provide appropriate support. Ability to integrate multiple applications and/or systems. Ability to analyze data requirements and research data availability and access methods. Ability to coordinate and implement data exchanges and conversions.

MINIMUM QUALIFICATIONS :

A basic foundation of knowledge and skills in technical information systems and application program packages is a prerequisite for this position. This foundation would normally be obtained through a bachelor’s degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study.

SPECIALIZED SKILLS :

Knowledge of Peoplesoft applications; and operation analysis and techniques. Ability to take initiative and independently plan, organize, coordinate and perform work in various situations where numerous and diverse demands are involved; handle multiple work unit priorities and projects; research, develop and evaluate policies and programs, including skill in the collections, evaluation and interpretation of data to develop sound conclusions and make appropriate recommendations; anticipate problems and address them proactively; effectively interpret, organize and present information and ideas in written or presentation form; and to quickly learn features of new software releases and modules. Expertise in investigating and analyzing problems with broad administrative impact and implications. Demonstrated experience involving analysis and evaluation leading to the development or improvement of student administrative policies, procedures and/or practices. Excellent oral and written communication skills, with the ability to communicate technical concepts and ideas to non-technical individuals. Demonstrated record of a strong customer service orientation. Demonstrated success in working collaboratively in a team-oriented environment. Experience in creating reports using SQR, PSQuery, EPM tools and other reporting applications; in preparing system documentation; and in implementing ERP systems. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above.

PREFERRED QUALIFICATIONS :

Three years of technical or administrative experience in student administrative systems. Experience in using CSU/CMS PeopleSoft and student information systems. Experience in implementing Student Accounting systems. Strong system background as a user or developer.

Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. The position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
