CAPS OFFICE COORDINATOR
Administrative Support Coordinator I
Student Services/Health Center
Salary Range: $3505 - $5508/Monthly
Work Schedule: Full-Time, Monday - Thursday, 8:30 a.m.- 5:30 p.m., Friday, 8:30 a.m. to 5:30 p.m.; non-exempt classification.
Essential Functions: This position serves as the primary clerical and administrative support for the Student Health Center's Counseling and Psychological Services (CAPS) department. The incumbent will regularly perform specialized administrative/clerical tasks in support of the CAPS Director, Associate Director and professional Counseling staff. The incumbent will be responsible for coordinating all administrative tasks of the CAPS department including: coordinating events and activities; facilitating professional staff recruitment efforts; processing travel documentation; monitoring and reporting time and attendance of personnel; drafting correspondence and announcements; preparing financial reimbursement and procurement documentation; and other related clerical/administrative support activities.
Required Qualifications & Experience: Equivalent to three years of general office experience, which included providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Possess organizational skills. Ability to: multi-task; maintain schedules; apply judgment, use discretion, and demonstrate initiative with minimal supervision; assist/greet visitors in a professional manner; prioritize and coordinate the work of others; meet deadlines and complete duties; manage complex filing systems; and keep confidential information safe and secure. Demonstrated interest and ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Desired Qualifications: Experience working in a higher education professional office setting; experience working with Microsoft Office Suite (Word, Excel, Outlook, and Teams); familiarity with CSU policies, procedures and systems; knowledge of FERPA or HIPAA standards for safeguarding student data and protected health information.
