Salary Range: $3,288 - $6,347/Monthly

Work Schedule: Full-Time, Monday - Friday, 8:00 a.m. to 5:00 p.m.; non-exempt classification.

Essential Functions: This position provides direct support to the Associate Vice President for Student Life/Dean of Students (AVP/DOS) and assists with the day-to-day operations of the Office of the Dean of Students. Under the supervision of the AVP/DOS, the incumbent provides critical fiscal and operational support, coordinates a variety of daily assignments as well as short and long-term projects and assists with leading the Office of the Dean of Students administrative team. This position is highly customer service oriented, with duties specifically related to assuring the efficiency, effectiveness, and overall contributions to student success and development. The incumbent interacts regularly with each of the units reporting to the AVP/DOS, which include, but are not limited to, the Center for Student Involvement, Cal Fresh Outreach Center, Technology Loan Programs, Food Pantry, Student Support, Student Conduct, CARE Team, Associated Students Inc., and the University-Student Union. This position provides critical administrative support and coordination of daily office operations with duties specifically related to assuring the efficiency, effectiveness and overall success of services and programs that support the engagement, well-being, and academic success of Cal State LA students. The incumbent serves as the principal liaison to diverse constituencies comprised primarily of students, staff, faculty, and community members. This position will support the needs of the department and its initiatives, new and recurring, and provide evaluation of administrative support functions as well as provide insights for developing and maintaining effective relationships with diverse constituencies comprised primarily of students, staff, faculty, and community members. In addition, the incumbent frequently takes the lead in researching relevant University policy and gathering the necessary background required to make recommendations on issues that may have a broad impact across the University. This type of administrative support requires diplomacy, excellent analytical skills, good judgment, and detailed follow-up. The position is often called upon to compile data and information to support student emergency response efforts, fiscal management needs, grant reporting requirements, and policy implementation efforts.

Required Qualifications & Experience: A bachelor’s degree from an accredited four-year college or university and/or equivalent training and two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs is required. The incumbent must have excellent analytical skills, good judgment and detailed follow-up and is looked to for guidance and training on a variety of administrative procedures. This position often compiles data and information to be used in support of, or justification for, initiatives and the annual operating budgets. The incumbent will independently compose documents, letters, announcements, and efficiently multi-task; deal with conflicting priorities and have effective time management skills; demonstrate competence in Microsoft Office software; be a problem solver demonstrating competence in independent judgment; interpret complex, technical information and train others; use a high level of discretion. The incumbent must have the ability to appropriately handle highly confidential documents and situations; work independently and exercise sound judgment; maintain strict confidentiality in all matters; and establish and maintain effective working relationships. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. Desired Qualifications: Current knowledge of University policies and procedures related to daily responsibilities and experience in providing training and guidance to administrative staff in support of high level administrators. Working knowledge of administrative processes such as the completion of travel expense claims, requisitioning and procurement, recruitment and hiring documentation, and the use of Data Warehouse, Hyperion PBCS and other budget tracking systems. Ability to coordinate projects with accountability for results; to learn, interpret and apply a variety of policies and procedures relating to an organizational unit; ability to establish and maintain effective working relationships; understand the needs of Cal State LA students; and student-success focused perspective.
