DEAN'S OFFICE SUPPORT COORDINATOR

Administrative Support Coordinator I
Dean's Office

Salary Range: $3,276 - $5,128/Monthly

Work Schedule: Full-Time, Monday - Thursday 9.00 a.m. to 6.00 p.m., and Friday 8.00 a.m. to 5.00 p.m..; non-exempt classification. Temporary one-year appointment; may be extended; may become permanent.

Essential Functions: Under the direct supervision of the Dean's Executive Assistant, the Administrative Support Coordinator I will provide advanced administrative support functions for the general operations of the Dean's Office with clerical support for various college meetings and support for the Dean's Executive Assistant. The incumbent will: coordinate clerical and administrative support functions, including greeting visitors, telephone calls, and emails (from current and future students, staff, faculty, and administrators) and provide requested information or directing them to the correct area for assistance; assists with daily correspondence and general office activities and provides back up clerical support as needed; provide clerical support for the CCOE steering committee (executive and full), the school as a whole (SAW) meetings, chairs group, and CCOE town halls including but not limited to logistical support and taking minutes; provide support for the friends of education with the coordination of all meetings and events; provide support for the Dean's special projects and college events; attend meetings as needed; assist and provide work direction to student assistants, including but not limited to work schedules, tasks, and attendance, etc.; assist with student assistant hiring for the college, inputting monthly hours on PS, budget, and payroll; log and distribute all paychecks; distribute and conduct inventory of college promotional items; assist with tracking inventory equipment for the college including UAS property; assist with reporting building facilities related issues; provide ongoing support for the Dean, Resource Manager, Dean's assistant, and office staff; and perform other related duties.

Required Qualifications & Experience: Equivalent to three years of general office experience, which include providing ongoing work coordination or acting as a lead. Candidate must be enthusiastic in providing quality service in working with staff, supporting student assistants, faculty, and CCOE administration to ensure services necessary to administratively support the mission of the college. Candidate must possess excellent verbal, written and interpersonal communication skills, and effective customer service and organizational skills to serve current and future students, faculty, staff, administrators, community partners, and representatives from other outside agencies. Ability to handle large complex projects with a high level of visibility; apply independently a wide variety of policies and procedures where specific guidelines may not exist; ability and/or interest in working in a multicultural/multiethnic environment. Must be proficient in the use of Microsoft Office and related software and hardware. Ability to learn and understand complex university regulations/policies and relay that information clearly to students, faculty, and others in the college community. Ability to effectively handle a broad range of complex and sensitive communications; and the ability to handle multiple work units, priorities, and projects, meet deadlines, and multi-task effectively.

Preferred Qualifications: A bachelor's degree from an accredited college or university. Knowledge and effective use of PeopleSoft/GET. Experience with event and program planning, including promotion of events and programs. Evidence of participation and professional development offerings. Knowledge of applicable university infrastructure, policies, and procedures.
