The Town of Longboat Key is accepting applications for a Temporary Office Staff who can perform temporary assignments for clerical, receptionist, and secretarial positions for all Town departments, as assigned and when available to work.

Performs temporary assignments for clerical, receptionist, and secretarial positions for all Town departments, as assigned and when available to work. Scheduled by the Human Resources Manager or Support Services Director, the Temporary Office Staff’s immediate supervisor is the department head for the assigned department; however, work is evaluated, training is coordinated, and timecards are processed by the Human Resources department under the direction of Support Services Director.
- Performs receptionist, secretarial, and clerical duties for Town departments during staff vacations, absences due to illness, or for special projects. Duties will be explained during training period for each assignment.
- Performs filing, typing, word processing, computer data entry, telephone work, receptionist duties, and related functions, as assigned and as trained.
- Performs work using Town telephone system, copiers, fax machines, and Town computer system, including the “Desktop” telephone messaging system, Email, Letterwriter, MS Word, MS Excel, and Town databases, as required by assignment.
- Report to work as required by the Disaster Plan Recovery Guide and regular attendance during normal work schedule other than excused or job-related absences.
- Any other functions deemed essential by the Town and communicated to the employee by his/her supervisor or department head.
Every incidental duty connected with this position cannot be specified in the job description and an employee, at the discretion of the Town, may be required to perform duties that are not included in this job description.
Job Performance Knowledge & Abilities
Considerable knowledge of business English, spelling, punctuation, and commercial arithmetic. Considerable knowledge of office procedures and of how to operate standard office equipment. Knowledge of Town Codes and procedures and location of same. Knowledge of Town's organization chart and the functions handled by each department, as well as Town Commission and Town Committee members. Proficiency in working with Town telephone system and computer system, as trained, including MSWord and MS Excel.
Ability to perform a variety of clerical and administrative assignments with supervision and some independent judgment. Ability to compose effective and accurate correspondence. Ability to maintain records and reference files, and to assemble and organize data. Ability to meet and deal with the public in an effective and courteous manner. Ability to communicate effectively orally and in writing. Ability to prioritize and plan work assignments and maintain effective working relationship with co-workers, Town officials, and general public.
Skilled in secretarial procedures, including 45wpm typing/word processing, and 80 wpm shorthand (if trained).
General office work both at and away from a desk. Requires occasional lifting of records up to 20 pounds. Travel to and from other locations, as required. Evening and weekend work may be required with a minimum of two hours per day to be paid if scheduled.
: One year experience in general billing, invoicing, and/or claims processing, with receptionist experience. REQUIRED
: High school diploma or equivalent with two years experience in general office work. Basic typing skills and word processing ability (or willingness to learn). Public contact and telephone skills.
