Position Description

Serves as the principal clerical and administrative support position to an administrative officer. This title is restricted for use in the office of a Dean, Associate Vice Chancellor/Associate Vice President, Vice Provost, or an administrative officer reporting directly to the Chancellor/President. Performs responsible and complex administrative support or technical program assistance work. Work is performed under general supervision from the administrator. Direct supervision of subordinate personnel may be included in the job responsibilities.

Major/Essential Functions

  • Develops and maintains clinical preceptor and site records consistent with university program and ARC-PA standards in permanent digital file and clinical database system.
  • Maintains appropriate and timely communication related to clinical education with both sites and students.
  • Initiate, monitor, complete, and maintain contracts and affiliate agreements as per university policy.
  • Assist with clerkship rotation and final program week activities including ordering of exams, entering evaluations into the online clinical database and proctoring when needed.
  • Assist with clinical rotation scheduling and communications.
  • Assist with scheduling student clinical site orientations
  • Maintain and provide required documentation requirements for clinical sites.
  • Assist with preparing outreach materials for current and potential preceptors/sites.
  • Maintain an accurate inventory of clinical PPE supplies; assist in distributing PPE to students on clinical rotations.
  • Assist in admissions activities on interview days, as needed.
  • Assist in coordination of meetings and events such as New Student Orientation, Boot Camp and White Coat Ceremony.
  • Maintains professional knowledge by attending SHP and TTUHSC development activities, huddles, and workshops offered by the Office of People and Values.
  • Serve as backup to Administrative Assistant and Unit Manager to answer phones and greet visitors and students.
  • Support Program Director and Faculty with special projects and reports.
  • Assist in overflow work.
  • Other duties as assigned.

Required Qualifications

Bachelor's degree in clerical/administrative area. Two years progressively responsible administrative or related experience, including one-year supervisory experience. Additional job related experience may substitute for required education on a year-for-year basis.

Preferred Qualifications

Ability to use Adobe, Microsoft Word and Excel, and manage email and calendar in Outlook.
