Administrative Support Coordinator II Position Information
The California State University, Office of the Chancellor, is seeking an Administrative Support Coordinator
to provide day-to-day administrative support to the AVC. Responsibilities
Under the general direction of the Assistant Vice Chancellor, Teacher Education & Public School Programs
, the Administrative Support Coordinator
-Manage the Assistant Vice Chancellor's (AVC) calendar: schedule appointments, meetings and conference calls.
-Coordinate attendance with agenda for Board of Trustees, Academic Senate, Council of Presidents, Academic and Student Affairs Council, etc.
-Manage AVC travel: book flights, hotels, and rental cars; prepare detailed travel itineraries; submit meeting registrations, travel authorization requests, and reimbursement claims for both CO funded and non-CO funded travel.
-Format and distribute AVC correspondence including letters, memos, emails, and listserv messages.
-Serve as AVC liaison to direct reports, campus colleagues, EVC office, and other CO departments.
-Assist with AVC meeting presentations, including PowerPoints, PDFs and collaborative projects, as well as IT support.
-Serve as point of contact for campus Deans of Education. Qualifications
This position requires:
-Bachelor's degree from an accredited four-year university or college or equivalent combination of education and experience
-3 to 5 years' administrative experience
-Strong organizational skills
-Good problem-solving skills and the ability to handle a broad range of interpersonal contacts, including those at a higher level
-Experience with assisting managers and executives
-Experience with managing employee travel: making arrangements, processing authorization requests and reimbursement claims
-Proficient with Microsoft Outlook, especially Excel and calendar
-Working knowledge of PeopleSoft and other databases
-A strong command of English grammar, punctuation and spelling
-Ability to set work priorities and take initiative for projects, ability to work independently with minimal supervision
-Ability to maintain confidentiality of student records and personal identifying information
-Working knowledge of budget tracking, reporting and management Preferred Qualifications
