Office for Faculty Affairs
Salary Range: $3,204 - $5,683/Monthly
Work Schedule: Full-Time, Monday - Friday, 8:00 a.m. to 5:00 p.m. Temporary one-year appointment, may be extended, may become permanent; non-exempt classification.
Essential Functions: The Confidential Analyst, Assistant to the AVP (CAA) is under the general supervision of the Associate Vice President for Faculty Affairs. The CAA manages the calendar of the AVP for Faculty Affairs and provides support for calendar management for the Directors for the Office for Faculty Affairs. Calendar management includes hosting meetings for the AVP, office meetings, scheduling Level 1 grievance meetings and other meetings with the CFA, and complex planning and prioritization of schedules. The CAA attends all Level 1 grievance meetings to take notes. The CAA provides administrative support to the AVP for Faculty Affairs including operational, policy and program research, analysis, reporting and evaluation for the effective development, review of written materials (including confidential documents) and administration of programs. In addition, the CAA is responsible for coordination of tenure-track faculty searches, updating training materials, and the clerical and initial review aspects of the tenure-track recruitment process. The CAA independently organizes, monitors, and performs a variety of administrative and financial duties to assure effective daily operations of the office of the AVP for Faculty Affairs. This position is regularly involved in confidential communications that may affect bargaining unit conditions, negotiations, and/or grievances (example: compiling/analyzing/evaluating existing data or routing issues that may directly affect union related issues).
Required Qualifications & Experience: Bachelor's degree from an accredited four-year college or university. Four years of full-time general and administrative office experience in a professional environment with the demonstrated capability to interact with all levels of personnel in a friendly and clear manner. Must be a problem solver demonstrating competence in independent judgment. Discretion and a high level of responsibility are prerequisites for this position due to the value and confidentiality of documents. Incumbent must possess; proficiency in data handling with a basic knowledge of Excel; demonstrated competence in all standard Microsoft software components; excellent command of both spoken and written English (including grammar); excellent verbal and written communication skills; and effective time management skills; Ability to: independently compose and edit documents, letters, announcements, memoranda, etc.; learn basic web-based applications; effectively "multi-task" dealing with conflicting priorities; appropriately handle highly confidential documents and situations; interact with difficult people and situations with extreme poise and patience; independently perform multiple administrative and analytical services; and anticipate problems, and address and make recommendations to the AVP for Faculty Affairs. Must demonstrate an interest or ability to work in a multicultural/multiethnic environment. A task to assess writing skills will be part of the interview process.
Desired Qualifications: Experience in human resources, law, or related field. Experience in a university/educational setting. Knowledge of University policies, procedures and regulations, such as those in the Faculty Handbook and Unit 3 CSU/CFA and Unit 11 CSU/UAW Collective Bargaining Agreements. Working knowledge of PeopleSoft HR software and knowledge of fiscal analysis and techniques.
