PURPOSE :

Under the general supervision of the Registrar, the Lead Degree Audit Systems Analyst provides business analysis, planning support, and systems maintenance for the degree audit/transfer credit and degree planner software modules. The incumbent coordinates and participates in the planning, development, implementation, documentation, administration, and maintenance of degree audit systems in order to meet the business needs of the university; serves as a liaison from the Office of the Registrar to other academic and administrative departments; and provides lead work direction to other analysts. The Lead Degree Audit Systems Analyst is expected to have a thorough understanding of degree requirements, program/curriculum governance, and the system maintenance associated with these academic functions. This position will partner with Records, Admissions, Advising, and Student Information Systems on transfer credit, degree audit, degree planner, and advisement technology initiatives, projects for improvements, and system maintenance. The Lead Degree Audit Systems Analyst will support prioritization, elimination of duplication, and consolidation of processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following :
  • Maps, builds, and maintains degree programs and requirements via the academic advisement module in Oracle/PeopleSoft Campus Solutions and maps, builds, and maintains the corresponding pathways in the degree planner software and assists with the update and maintenance of transfer credit rules. Monitors and maintains accuracy of degree audits, degree planners, and transfer credit rules; proposing resolution for reported issues and problem situations; and providing support for the development, testing, installation, operation, and maintenance of degree audit systems.
  • Serves as the lead analyst to other degree audit systems staff; plans and assigns work; investigates, analyzes, and solves problems; provides training and guidance; and, coordinates and conducts user testing. Provides input to supervisor for performance appraisal of staff.
  • Assists departments in understanding system functions and processes, providing guidance in business process redesign, troubleshooting for identified issues related to academic advising systems and training in new system functionality.
  • Prepares and maintains system/operational documentation and develops end-user reports for academic advising systems.
  • Assists in evaluation and making recommendations on campus initiatives as related to degree audit and graduation.
  • Works cooperatively with Academic Affairs, Student Affairs and the Chancellor's Office to support and enhance academic advising systems.

Other Functions :
  1. Provides support for process mapping, development of workflow and control procedures, and other quality initiatives.
  2. Serves on committees as assigned.
  3. Performs other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES :

Knowledge of applying standard theories, principles, practice, and techniques applicable to a university/higher education environment; operational analysis and techniques; excellent oral and written communications skills. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Experience in investigating and analyzing problems that have broad administrative impact and implications. Strong systems background as a user or functional developer. Experience in using spreadsheets, database query tools and word processing software applications at an advanced level; using/supporting a student information system such as Oracle-PeopleSoft (Campus Solutions/Student Administration), SCT Banner, Datatel, and/or other database student information systems. In addition, produce or retrofit content for accessibility, using tools such as Ally, MS Office and Adobe Acrobat documents, and audio and video transcription/captioning.

Ability to: Research, develop and evaluate policies and programs, including skill in the collection, evaluation, interpretation of data to develop sound conclusions and make appropriate recommendations; quickly learn features of new software releases and modules, anticipate problems and address them proactively; analyze data requirements and research data availability; train/mentor others on systems skills and procedures, with the ability to communicate system/technical concepts and ideas to non-system/technical individuals; work as a team member; independently handle multiple work unit priorities and projects; establish and maintain cooperative working relationships within a diverse, multicultural environment

MINIMUM QUALIFICATIONS :

To enter this classification, a basic foundation of knowledge and skills in technical information systems and application program packages is a prerequisite. This foundation would normally be obtained through a bachelor's degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study. Foundation knowledge and skills for the Information Technology Consultant, depending on the nature of the position assignment, may include working knowledge of common software application packages, equipment platforms, reference database systems and sources, and training methods and a basic understanding of networks, data communication, and multimedia systems.

SPECIALIZED SKILLS :

Experience in creating reports using XML and/or SQL based reporting systems. Demonstrated experience to accurately audit Academic Advisement, Degree Audit and Records and Registration applications degree programs and requirements (general education, majors, minors, concentrations). Experience in preparing system documentation. Bachelor's degree in computer science, information systems, educational technology or related fields, or similar certified coursework in applicable fields of study. Working knowledge of common software application packages, database systems and sources and training methods and a basic understanding of networks, data communication, and multimedia systems. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above.

PREFERRED QUALIFICATIONS :

Experience in implementing degree audit systems. Technical fluency with Banner, Oracle/PeopleSoft, CSU Common Management System or equivalent student/financial information system; Microsoft Office Professional Suite, and Google mail and calendaring programs.

PHYSICAL ENVIRONMENT :

Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.

There are components of this job which are deemed essential on campus. This position will primarily work on the main campus, with occasional work from home.
