Position Summary

The Department of Dual Language and English Learner Education (DLE) is a graduate level academic department administering bilingual teaching credentials, certificates and master's degrees. The Department offers SDSU's American Sign Language courses. Faculty in the department also teach in the SDSU/Claremont Graduate University doctoral program.

The Administrative Support Coordinator II provides administrative and clerical support for an academic department. The Administrative Coordinator II position serves as a point of contact for all guests visiting the department including prospective students, current students, staff, and faculty. Work is performed independently ensuring that the department is following policy and meeting deadlines. The Administrative Support Coordinator II must be able to effectively handle highly sensitive situations and interpersonal interactions at all levels.

The Administrative Support Coordinator II: Has a comprehensive and detailed knowledge of university operational and procedural administrative work. Performs all department clerical and administrative tasks including managing the various budgets; office, travel, and program paperwork, purchasing, and reimbursements; "guide teacher" payments; calendaring; event/meeting arrangements; facilities requests; correspondence and mailings; data entry; maintaining files; and supervising student assistants. Develops class schedule drafts and maintains master class schedule, ensuring that necessary courses are offered at times that do not conflict and ensures that the department is meeting all program and fiscal obligations. Prepares and submits faculty appointment paperwork. Assists Department Chair with department faculty candidate searches, the RTP process, and lecturer, teaching associate and graduate assistant appointments including the collection of performance evaluations. Ensures all contractual obligations have been met. Processes course proposals and faculty forms for Global Campus course offerings. Assists students and faculty with a range of issues including newly admitted students with the admittance process; RDRs; official transcripts; final comprehensive exams; grade changes; and GRE collection. Maintains student files in the department office and files necessary documentation with the Graduate Division.

This is a full time (1.0 time-base) benefits eligible, permanent (probationary) position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Preferred Qualifications
  • Experience working in a higher education or public sector setting.
  • Experience working with a highly diverse student population in a university setting.
  • Experience working as a coordinator in an academic department.
  • Bilingual English/Spanish
  • Bilingual English/American Sign Language

Specialized Skills
  • Proficiency in Microsoft Office Suite
  • Experience working with a relational database such as FilemakerPro

Compensation and Benefits

Starting salary upon appointment not expected to exceed $3,650 per month. CSU Classification Salary Range: $3,352 - $5,639 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.
