Job Description

Position Information
This is a full-time (1.0 time-base), benefits eligible, permanent (probationary) position. This position is designated exempt/non-exempt under FLSA and is (not) eligible for overtime compensation. Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

The Administrative Support Assistant II provides support to the Office of Advising and Evaluations and works closely with the Administrative Support Coordinator/Office Manager to ensure the following advising and evaluations tasks are completed:

-Support to ensure that undergraduate documents are processed through internal evaluations workflows and archived appropriately into the student's electronic academic record.
-Responsible for receiving, sorting, processing, and imaging documents into the student's official record. The incumbent is expected to be knowledgeable in document workflows that relate to all functions and have a thorough understanding of the archive indexing process and student information system.
-Responsible for supporting graduation processes (support for Graduation Adviser/Evaluators, and support for diploma and diploma cover orders).
-Support for the Academic Advising Center (triage).
-Support for supplies and organization for Advising and Evaluations office and team.
The incumbent will provide assistance in the daily tasks of the unit to include, but not limited to the following: data entry into student information, diploma and degree audit systems, incoming mail and transcript identification and routing, archiving hard copy documents pertaining to a student's academic progress at SDSU, troubleshoot, process test scores, military documents and international documents.

Compensation and Benefits
Starting salary upon appointment not expected to exceed $2,730 per month. CSU Classification Salary Range: $2,600 - $4,592 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

Minimum Qualifications

Entry to this classification requires fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; an ability to understand standard office procedures; an ability to operate standard office equipment; an ability to learn office technology systems; an ability to perform basic mathematical calculations; and typing and keyboard skills.

These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.

Preferred Qualifications and Specialized Skills:

-Experience in data analysis and data entry
-Experience working in a university Admissions, Evaluations or Registrar office
-Experience using a student information system at a college or university
-Experience entering data into a degree audit system
-Experience using commercial-grade imaging software and scanning equipment at a college/university
-Experience with administrative support of graduation and commencement reports and processes
Skills in using and understanding database applications and advanced features in Microsoft Word, Excel, Adobe Reader, OnBase, uAchieve, Diplomatic
-Proficiency using Microsoft Office (Word, Excel, Outlook)
-Proficiency using personal computers and web browser functionality
-Experience with document reviews in a high volume environment
-Experience in data entry and updating database records
-Experience working in a college or university setting
