Undergraduate Admissions and Recruitment

Reporting to the Associate Vice President (AVP) for Enrollment Management, the Director of Undergraduate Admissions and Recruitment serves as the primary point of contact for the University to the CSU Chancellor¿s Office and constituents in high school and community college concerning all matters related to undergraduate admissions. The Director provides leadership, management, and oversight of a comprehensive portfolio of programs that develop
a pipeline of prospective undergraduate applicants, including recruitment activities that target high school seniors and community college students. The Director is also responsible for developing, organizing, and overseeing all aspects of the evaluation and admission processes for domestic and international first-time freshman and transfer students, including policies and procedures that optimize efficiency of the review and processing of undergraduate applications
for admissions and applicants¿ transfer coursework. The Director is responsible for ensuring that technologies utilized by the organization effectively and adequately meet the demands of the work involved in admissions and outreach, particularly Campus Solutions, OnBase, and the University¿s Student Relationship Management software. The Director plays a key role in advising the AVP regarding strategic management of the undergraduate admissions outcomes.
- Develop long-range vision, short- and long-term strategic plans, and goals relative to the recruitment and processing of applications for undergraduate admissions at SF State.
- Contribute to the University¿s mission of creating and maintaining an environment of learning, and providing broad, accessible, higher education for residents of the region and state, as well as the nation and world.
- Support the goals of the Division by aligning the services of unit with the operations of the offices of Educational Opportunity and Pathway Programs, Registrar¿s Office, Office of Student Financial Aid, One Stop Students Service Center, as well as key campus partners including, but not limited to, the Office of International Programs, New Student Programs, Developmental Studies, First Year Experience (FYE) Committee, Transfer Student Committee, College of Extended Learning, the Division of Equity & Community Inclusion, Office of Strategic Marketing & Communication, University Housing and Residential Life.
- Establish, develop, and continually assess the organizational structure of the systems within the unit to achieve maximum efficiency and effectiveness in meeting student and institutional needs and goals.
- Contribute to Division-wide initiatives to enhance the overall quality of services and programs of SF State.
- Stay informed about CSU mandates and guidelines related to student outreach, admission requirements, policies and procedures related to college readiness, and trends in new student enrollment.
- Instill a culture of continuous improvement within the Office of School Relations, Recruitment, and Undergraduate Admissions.
- Participate in campus-wide committees and task forces as assigned, particularly as they pertain to the enrollment funnel and marketing of and communication of SF State¿s academic programs, admissions policies, and procedures.
Strategic Planning, Execution & Assessment of Student Outreach
- Responsible for the strategic planning and continuous assessment of outreach services to ensure that recruitment practices align with the University¿s academic master plan and will promote the reputation and growth of SF State academic programs.
- Responsible for the effective utilization of the University¿s Student Relationship Management software for the explicit purpose of effective engagement with prospective students and their families and high school and community college counselors.
- Provide information to the University concerning outreach efforts and corresponding yield rates.
- Work closely with the AVP for Enrollment Management in building and maintaining relationships with high school and community college partners in California.
- In consultation with and approval from the AVP for Enrollment Management, build and foster external partnerships that encourage pipeline collaborations with local high schools and California community colleges.
- Provide regular written reports about the activities and outcomes of such activities with these partnerships.
- Provide leadership to the Associate Director of the unit that directly manages recruitment efforts to ensure that planned activities correlate with the timeline of key admission dates.
- Stay abreast on research concerning higher education enrollment, trends pertaining to student mobility and college selection, and best practices in student outreach.
Undergraduate Admissions Administration
- Responsible for the effective utilization of the Admissions Module in Campus Solutions and OnBase systems in order to generate optimal productivity of staff members performing functions related to admissions applications.
- Lead the unit in providing pre-admission counseling to prospective and returning SF State students.
- Deliver timely, accurate, high quality services that are essential to matriculation of new SF State students.
- Coordinate with academic units, the processing of applications to impacted academic programs.
- Provide leadership to Assistant Directors within the unit that directly manage the operations of admissions and evaluations, document and transcript imaging, and transfer credit processing.
- Be responsible and accountable for the timely processing and submission of enrollment reports to the Chancellor¿s Office and to campus stakeholders.
- In consultation with the AVP for Enrollment Management, recruit, appoint, direct, and promote the development of staff within a supportive working environment; this involves timely completion and submission of paperwork to the various partners within SAEM.
- Initiate and manage personnel actions, including: employee posting, hiring, evaluation, and any corrective action required to maintain effective staffing levels.
- Ensure that position descriptions are accurate and updated when responsibilities change.
- Manage the attendance of staff in a manner that ensures adequate and continuous student-centered services.
- Be responsible for timely reporting and approval of attendance for professional staff and student assistants.
- Oversee the unit¿s budget by monitoring operational and ad hoc expenses.
- In consultation with the AVP for Enrollment Management, develop/propose an annual budget prior to the next fiscal year and perform mid-year budget reviews for the Office of Undergraduate Admissions; proposed budgets must be made to maximize the utilization of funds and within the SAEM budget model.
- In consultation with the AVP for Enrollment Management, submit requests for any additional funding in a manner that is consistent with the procedures set in Student Affairs and Enrollment Management.
The Director is expected to work at scheduled campus events and be available on call as necessary, including evenings and weekends. Occasional in-state and out-of-state travel is required. Must be able to competently interact with a culturally and ethnically diverse population of students, faculty and staff.

Master¿s Degree and a minimum 5 years¿ of progressively responsible supervisory experience in university admissions and outreach. Demonstrated experience within a comprehensive university environment working with a highly diverse student and staff population. Excellent written and oral communication skills and ability to explain complex admissions decisions to students, families, and community stakeholders.

Demonstrated experience in successful development and execution of strategies for recruitment of first-time and transfer students for urban public colleges or universities. Experience in implementing and enhancing enterprise student administration systems, preferably within the CSU system or California public higher education; PeopleSoft Student Administration in reference to Admissions, Transfer Credit, and Campus Community; experience in project
management/control or planning methodology for projects or large-scale activities relating to enterprise student administration systems. Knowledge/understanding of policies and procedures from the CSU Chancellor¿s Office perspective and how they impact the University and the technologies used to administer these policies and procedures.
