ADMINISTRATIVE ASSISTANT TO THE DEAN OF STUDENTS
Administrative Analyst Specialist
Dean of Students
Salary Range: $3,288 - $6,347/Monthly
Work Schedule: Full-time; Monday - Thursday, 9:00 am to 6:00 pm, Friday, 8:00 am - 5:00 pm; non-exempt classification.
Essential Job Functions: Under the general supervision of the Dean of Students, the incumbent provides support to the day-to-day operations of the Office of the Dean of Students. The incumbent will coordinate budget activities and provides fiscal resource and operations support: procurement, budgetary tracking and analysis, monitoring expenditures and fund balances; grant reporting; monthly reconciliations; budget and expenditure transfers; and processing student and staff employee transaction forms, payroll reports and travel. This position monitors and assists with General Fund, Student Success Fee accounts, other special non-General Fund programs and grant budget proposals. Administrative functions include: calendar management; logistical planning for meetings, programs and special projects; grant support; procurement of inventory and services for various initiatives; work direction to the administrative support team; maintain office supplies; ensure that working documents, websites, marketing materials and contact lists are up-to-date; work with administrative team to maintain a positive and productive work environment; review student concerns and complaints and assist with referrals and responses; schedule document preparation and special projects.
Required Qualifications & Experience: Bachelor's degree and/or equivalent training and two years of full-time administrative work experience involving study, analysis and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs. The incumbent must be proficient in MS Office and possess excellent analytical skills, good judgment and detailed follow-up. The incumbent must possess excellent: time management; written and verbal communication; organizational planning, and strong problem solving skills. Ability to: work independently with little or no supervision; anticipate and identify problems early and address them proactively; interpret complex, technical information and train others; exercise sound judgement; maintain strict confidentiality; and establish and maintain effective working relationships. Demonstrated ability and interest in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.
Desired Qualifications: Current knowledge of: policies and procedures for daily responsibilities; providing training and advisement to administrative staff; and use of Data Warehouse and Hyperion PBCS systems and procurement policies.
