ASSISTANT TO THE DEAN OF STUDENTS
Administrative Analyst Specialist
Dean of Students
Salary Range: $3,288 - $6,347/Monthly
Work Schedule: Full-Time, Monday - Thursday, 9:00 a.m. to 6:00 p.m.; Friday, 8:00 a.m. to 5:00 p.m.; non-exempt classification.
Essential Job Functions: Under the supervision of the Dean of Students, the incumbent provides critical fiscal and operational support and coordinates a variety of daily assignments as well as short and long term projects. This position is highly customer service oriented, with duties specifically related to assuring the efficiency, effectiveness, and overall contributions to student success and development. The position interacts regularly with each of the units reporting to the Dean, which include: Student Health Center, Center for Student Involvement, Cal Fresh Outreach Center, Civic Engagement and Internships, Food Pantry, Housing and Residence Life, Student Support, Student Conduct, and Associated Students, Inc. The incumbent coordinates budget activities and provides fiscal resource and operations support for the Office of the Dean of Students. This includes: procurement, budgetary tracking and analysis, monitoring expenditures and fund balances; grant reporting; monthly reconciliations; budget and expenditure transfers; student and staff employee transaction forms; payroll reports and travel. The incumbent also develops, plans, and implements operating procedures by calendar management; logistical planning for meeting, programs, and special projects; grant support; and procuring inventory and services for various initiatives. The incumbent assists with overseeing the Office of the Dean of Students administrative support team while maintaining office supplies and ensures that working documents, websites, marketing materials and contact lists are up to date.
Required Qualifications and Experience: The incumbent must have a Bachelor's degree from an accredited four-year college or university and/or equivalent training and two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs. The incumbent must have excellent analytical skills, good judgement, effective time management skills and is looked to for guidance and training on a variety of administrative procedures. The incumbent often compiles data and information to be used in support of, or justification for, initiatives and the annual operating budgets. The incumbent must have the ability to independently compose documents, letters, announcements, and efficiently multitask; deal with conflicting priorities; demonstrate competence in Microsoft Office software; be a problem solver demonstrating competence in independent judgment; interpret complex, technical information and train others; use a high level of discretion; appropriately handle highly confidential documents and situations; work independently and exercise sound judgement; maintain strict confidentiality in all matters; establish and maintain effective working relationships; and must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Desired Qualifications: Current knowledge of policies and procedures for daily responsibilities and in providing training and advisement to administrative staff that report for processes such as the completion of travel and hiring forms, use of Data Warehouse and Hyperion PBCS systems and procurement policies.
