DEPARTMENT ADMINISTRATIVE ASSISTANT
Administrative Support Assistant II
Salary Range: $2,600-$4,592/Monthly
Work Schedule: Full-time, Monday - Thursday 9:00 am - 6:00 pm, Friday 8:00 am - 5:00 pm; non-exempt position. Temporary appointment expires on or before one year from the date of hire. Appointment may be extended, may become permanent.
Essential Functions: Under the general supervision of the Department Chair, the Department Administrative Assistant assists in a variety of administrative operations and functions in the department office. Incumbent will: support all curricular, graduate advisement, and registration activities in the department; provide clerical support for the Department Chair, faculty, and other staff; plan and coordinate clerical work activities; provide lead work direction and/or training and assistance in work processes and procedures; respond to inquiries; and provide creative solutions as needed. Responsibilities include: maintain all graduate and undergraduate student files, graduate applications, graduate degree programs, historic undergraduate program plans and worksheets; process degree checks; update GET student records to reflect approved program changes and course substitutions; process related forms; and coordinate screenings and reviews for graduate students. In addition, the incumbent will: ensure that both graduate and undergraduate students are informed of program requirements; set up appointments for advisement; issue permits as needed; and assist with enrolling first-year students in their appropriate first-year writing class.
Required Qualifications & Experience: Equivalent to two years of full-time general office experience, which included providing on-going work direction or acting as a lead. Knowledge of office systems and ability to use a broader range of technology systems and packages. Must be detail-oriented with the ability to: independently handle multiple work unit priorities and projects; establish and maintain effective working relationships with others; respond to routine inquiries and explain standard policies and procedures to others; apply independently a wide variety of policies and procedures where specific guidelines may not exist; perform basic arithmetic calculations; establish and maintain effective working relationships with others; effectively communicate verbally and in writing; and handle a broad range of interpersonal contacts, including those sensitive in nature. Demonstrated interest and ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position.
Desired Qualifications: Bachelor's degree from an accredited four-year college or university; familiarity with university administrative processes and procedures pertaining to an academic department. Ability to write, design, and solicit articles for the graduate student newsletter, and interest in assisting in maintenance of the department website.
