Essential Job Functions
- Provides clerical and bookkeeping support to higher-level accounting staff responsible for the daily operation of departmental accounting systems.
- Maintains records within general accounting, accounts receivable, accounts payable, or trust accounting systems in accordance with established policies, procedures, and guidelines.
- Performs bookkeeping and financial clerical duties, including sorting, coding, verifying, posting, and filing financial transactions; maintains subsidiary ledgers and reconciles account balances.
- Assists with the reconciliation of accounts involving Auditor records, property listings, bank statements, revenue accounts, and fund balances.
- Prepares standardized financial and operational reports, including sales tax, mileage, collections, and account balance reports.
- Provides lead direction to bookkeeping machine operators and other support staff, as assigned.
- Verifies the accuracy of inventory, stock, and equipment records by reconciling receipts, issues, invoices, and physical inventory reports.
- Compiles and prepares discrepancy reports, inventory analyses, and statistical summaries related to inventory operations.
- Conducts routine office and field reviews to verify the clerical accuracy of accounting documents, including petty cash reports, cash register receipts, collection records, and other financial documentation.
- Ensures compliance with accounting procedures and maintains accurate financial records to support departmental operations and reporting requirements.

Requirements
Requirements to Qualify:
Option I: One year of clerical experience in bookkeeping, assisting in the maintenance of a double-entry accounting system and associated subsidiary records involving coding transactions and posting and balancing of ledgers, journals, and registers.
- OR -
Option II: One year of clerical experience in maintaining financial or statistical records involving coding, recording, checking tabulations, and computation of data, and completion of a high school or higher-level course* in bookkeeping or elementary accounting.
*To qualify under Option II, include a legible copy of all relevant official documents, including your transcript demonstrating completion of the required coursework. The document should show the number of units (if applicable), the title of the course completed, and be in English. If not in English, then translation is required. International coursework must be evaluated for equivalency to US standards. Documents marked as unofficial will not be accepted. Supporting documentation should be attached to your application or emailed to jcheung@hr.lacounty.gov within seven (7) calendar days from the last day of filing.

Withhold Information:
No withholds will be allowed. Required experience and/ or coursework completion must be fully met by the last day of filing and clearly indicated on the application.
Physical Class:
Physical Class II - Light: This class includes administrative and clerical positions requiring light physical effort that may include occasional light lifting to a 10-pound limit and some bending, stooping, or squatting. Considerable ambulation may be involved.

Examination Content:
This examination will consist of TWO (2) parts:
Part I: Multiple-choice and/or simulation assessment(s), weighted 50%, assessing:
- Data Entry Skills
- Conscientiousness
- Service Professionalism
- Quantitative Ability
- Drive for Success
- Numerical Calculation
Part II: Multiple choice and/or simulation assessment(s), weighted 50%, assessing:
- Accounts Payable: Purchase Orders, Invoices and Claims, and Expense Vouchers.
- Accounts Receivable: Invoice Processing, Check and Cash Receipts, Aging Reports, and Vendor Registrations
- Microsoft Excel 365: Basic Text and Cell Formatting, Visual Enhancements, Using Functions and Formulas, Printing an Excel Workbook, Applying Passwords and Encryption to an Excel Workbook, Conditional Formatting, and Charts and Data Tables
Applicants may be invited to participate in both Part I and Part II. However, only those who meet the Requirements to Qualify and receive a passing score of 70% or higher in Part I will have Part II scored.
Applicants must meet the requirements and receive a passing score of 70% or higher on each part of the multiple-choice and/or simulation assessment in order to be placed on the eligible list.
Exam Review:
Some exam components are not subject to review by candidates. Multiple-choice and simulation assessments are not reviewable by candidates per CSR 7.19.
Transfer of Test Responses:
- Applicants who are concurrently applying to the Account Clerk II, R0578N-R exam will take identical test parts one time only.
- If you have taken identical assessments recently for other exams, your responses may be automatically transferred to this exam.
- This examination contains test components that may be used on future exams, and your responses could be transferred to those exams.
Test Preparation:
We provide study guides and other test preparation resources to help candidates prepare for employment tests. While the guides may help in preparing for the test, we recommend reviewing all related materials that seem necessary.

Eligibility and Vacancy Information:
Applicants who passed the assessment(s) are placed on a list for a period of six (6) months. We will use this list to fill vacancies throughout Los Angeles County, as they occur.
